Job summary

  • A bachelor’s degree in business administration, public administration, communications, or a related field—or an equivalent combination of education and relevant experience.
  • A valid Washington State driver’s license and the ability to travel between Boyer locations and other local appointments as needed.

Responsibilities

  • Partner with and support the CEO by strategically managing the CEO’s calendar, meetings, and travel.
  • Develop and coordinate executive communications, including correspondence, presentations, reports, agendas, and briefing materials.
  • Coordinate Board and committee meetings, including scheduling, logistics, agendas, materials, minutes, and follow-up.
  • Maintain accurate governance records and support Board recruitment, onboarding, and governance work.
  • Oversee executive office records, contracts, confidential files, and other essential documents.
  • Coordinate agency insurance administration, IT coordination, and grants documentation support.
  • Track timelines, deliverables, and communications across executive priorities.

Boyer Children's Clinic is currently seeking an experienced and highly organized Full-Time Executive Assistant to the Chief Executive Officer! This is an opportunity to serve as a trusted partner to executive leadership while contributing to the work of a mission-driven nonprofit organization. The Executive Assistant serves as a strategic partner to the Chief Executive Officer, providing high-level executive, administrative, and operational support. In this highly visible role, you will help the CEO and Board of Directors stay organized, informed, and focused on Boyer’s most important priorities.

You will also serve as a trusted liaison among the CEO, Board members, senior leadership, staff, community partners, donors, and other external stakeholders. The ideal candidate brings sound judgment, exceptional communication skills, and the ability to anticipate needs and move complex work forward with accuracy and discretion.

What You’ll Do
Partner with and support the CEO
  • Strategically manage the CEO’s calendar, meetings, appointments, travel, and events while anticipating conflicts and balancing competing priorities.
  • Develop and coordinate executive communications, including correspondence, presentations, reports, agendas, briefing materials, talking points, meeting summaries, and organization-wide communications.
  • Manage and prioritize correspondence and ensure timely follow-up on important decisions, commitments, and action items.
  • Conduct research, compile information, monitor deadlines, and track organizational priorities to support executive decision-making.
  • Help coordinate strategic initiatives, cross-functional projects, leadership meetings, retreats, and planning sessions.
  • Serve as a professional representative of the CEO and Boyer, building strong relationships with staff, Board members, funders, government agencies, community partners, and other stakeholders.
Support the Board of Directors
  • Serve as the primary administrative liaison to Boyer’s Board of Directors.
  • Coordinate Board and committee meetings, including scheduling, logistics, agendas, presentations, meeting materials, minutes, and follow‑up.
  • Maintain accurate and organized governance records, including bylaws, resolutions, policies, rosters, calendars, and other official documentation.
  • Support Board recruitment, onboarding, orientation, and the work of the Governance, Finance, and Executive Committees.
Coordinate key organizational operations
  • Oversee executive office records, contracts, confidential files, and other essential organizational documents.
  • Serve as the liaison to Boyer’s external IT consultant, helping coordinate equipment procurement, technology training, and the annual technology risk assessment.
  • Coordinate agency insurance administration, including renewals, coverage documentation, and certificates of insurance.
  • Provide information and documentation in support of grant applications and proposals.
  • Track timelines, deliverables, and communications across executive and organizational priorities.

This position works in a typical office environment and requires regular use of a computer and the ability to sit or stand for portions of the workday. The role also includes regular travel between Boyer clinics, appointments, and other local locations.

  • We give you an exceptionally structured orientation with a ramp‑up schedule to assist you.
  • We offer a 37.5 hour workweek and other schedule flexibility.

Compensation

$72,606 - $101,977 annually

Position Requirements
Experience and education
