Job summary

Lincoln Avenue Communities in Santa Monica, CA, is seeking an experienced Executive Assistant to support the corporate executive team. This high-visibility role requires organization, discretion, and proactive management of complex priorities in a hybrid 4-days-in-office schedule.

You will partner with senior leadership, support a busy deal team, coordinate legal documentation and notarization, and use Gen AI tools to draft communications while preserving accuracy and confidentiality.

Qualifications

  • 5+ years of Executive Assistant experience in finance or fast-paced environments.
  • Associate’s degree required; Bachelor’s degree strongly preferred.
  • California Notary Public commission is a major plus; willingness to become one required.
  • Proficient in Microsoft Office; calendar, travel, expense management experience.
  • Experience handling documents workflows, signatures, and notarization.

About This Role

LAC is seeking an experienced, polished, and highly adaptable Executive Assistant to support our corporate executive team members. This is a high-touch, high-visibility role for someone who thrives in a fast-paced environment, enjoys staying one step ahead, and takes pride in keeping complex priorities moving.

In this role, you’ll work in close partnership with our senior leadership, their support team, and a collaborative team of Executive Assistants who help support operations across the firm. You’ll be a trusted partner to a busy deal team—bringing structure to shifting schedules, helping executives stay focused, and ensuring important work moves forward smoothly and efficiently. We’re looking for someone who is organized, responsive, detail-oriented, and service-minded, with the ability to manage a high-volume workload with professionalism, discretion, and sound judgment.

This role is also a strong opportunity for someone who wants meaningful exposure to the business. You’ll support a team at the center of our development activity and gain insight into how deals move from start to finish within a mission-driven, growing organization. A key part of this role will be helping drive deal closings by coordinating a high volume of legal documentation, managing electronic and wet signatures, and supporting notarization needs to keep transactions on track.

This position reports to a Vice President and is based at our headquarters in Santa Monica, CA. Our office follows a hybrid schedule, with a requirement of 4 days per week in the office.

Important Call-Outs
  • Individuals with EA experience supporting Financial Services, Private Equity, or Real Estate Development firms will be prioritized.
  • Candidates should have a California notary, or be willing to get one ASAP (we will sponsor this).
  • Reminder that the work is 4 days per week in our Santa Monica office.
What You’ll Do
  • Manage complex, high-volume calendars and scheduling through Microsoft Outlook, balancing shifting priorities and competing demands.
  • Review and help manage executive inboxes, including filing emails, tracking follow-ups, drafting correspondence, and responding on executives’ behalf with professionalism and sound judgment.
  • Coordinate and obtain signatures—electronic and wet—for legal and other time-sensitive documents across the firm.
  • In collaboration with the other Executive Assistant, you will help drive deal closings by managing documentation workflows, notarization needs, and execution deadlines.
  • Coordinate internal and external meetings, team events, and other key internal and external touchpoints.
  • Track reports, maintain files, and capture meeting notes and follow-up items as needed.
  • Organize and submit expense reports accurately and on time.
  • Arrange business travel, including itineraries, agendas, and supporting logistics.
  • Conduct research and manage special projects as needed.
  • Provide backup support for the broader Executive Assistant team regarding coverage.
  • Assist with occasional light personal tasks, such as personal travel arrangements or reservations.
  • Use Gen AI tools thoughtfully to help draft communications, summarize information, organize content, and streamline day-to-day administrative work while maintaining strong judgment, accuracy, and confidentiality.
  • Take on additional responsibilities and special assignments as needed.

Your Education and Experience
  • 5+ years of Executive Assistant experience, preferably supporting senior leaders in a finance environment or another similarly fast-paced industry.
  • Associate’s degree required; Bachelor’s degree strongly preferred, or equivalent combination of education and relevant experience.
  • California Notary Public commission is a major plus; willingness to become a Notary Public is required.
  • Highly proficient in Microsoft Office Suite, especially Outlook, Word, Excel, and PowerPoint.
  • Experience managing complex calendars, travel, expenses, and document workflows.
  • Experience supporting document execution processes, including legal documents requiring signatures and notarization, is strongly preferred.
  • Proven ability to handle sensitive information and communicate on behalf of executives with sound judgment, discretion, and professionalism.
Benefits & Compensation

The expected salary range for this position is $115,000 - $120,000 per year, based on qualifications and experience. In addition to the base salary, employees are eligible for a comprehensive benefits package:
