Job summary

The Governor's Office in Salem, Oregon is seeking an experienced Executive Assistant to provide confidential support to the Governor and senior advisors. You will manage calendars, coordinate meeting logistics, and prepare agendas and documentation for high-level briefing and policy discussions.

You will draft correspondence, conduct statewide research, track legislation, and serve as the liaison with state agencies, boards, and external stakeholders while maintaining discretion and delivering

Qualifications

  • Four years of staff-level experience providing administrative support to management.
  • Experience with program goals, budgeting, and research for management decisions.
  • Bachelor's degree may substitute for up to two years of required experience.
  • Strong oral and written communication with diverse audiences.
  • Ability to organize, coordinate, and manage complex details.
  • Discretion and confidentiality in handling sensitive information.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams).
  • Knowledge of organizational research and analysis methods.
  • Ability to build relationships and work as a team.
  • Must be authorized to work in the United States; no visa sponsorship.
  • I-9 documentation within three days of hire.

  • Assist policy staff with executing initiatives and coordinating resources.
  • Ensure timely policy advisor review of enrolled bills with background materials.
  • Serve as the first point of contact for dignitaries, legislators, and key partners.

  • Manage timely policy advisor review of enrolled bills and provide necessary background information and supporting materials
  • Serve as the first point of contact for dignitaries, legislators, and key partners
Requirements
  • Four years of staff-level experience providing administrative support to management
  • Experience must include technical or analytical duties in management of program goals and objectives; program or project planning; preparing, monitoring, or controlling budgets; or research and providing analytical information and/or recommendations used in management decision making
  • Bachelor's degree in Business Administration, Management, Public Administration, or a closely-related field may substitute for up to two years of required experience
  • Strong oral and written communication with diverse audiences
  • Experience applying rules, policies, and procedures to specific work situations
  • Ability to organize, coordinate, and manage complex details
  • Demonstrated judgment, discretion, and confidentiality
  • Experience using Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams
  • Skill in presenting reports and recommendations
  • Knowledge of organizational research and analysis methods
  • Ability to build responsive relationships, work as a team member, demonstrate time urgency, anticipation skills, and a strong personal touch
  • Consistent and reliable attendance
  • Must complete a computerized criminal history check
  • Must be authorized to work in the United States; agency does not offer visa sponsorship
  • Required to complete I-9 documentation within three days of hire
