As an Executive Assistant you will play a critical role by:

  • Supporting the Chief Executive Officer
  • Managing the Chief Executive Officer's calendar, including making appointments and prioritizing the most sensitive and important matters.
  • Driving to properties and sites for routine checks and appointments.
  • Building and maintaining relationships with vendors and subcontractors.
  • Assisting with the planning of executive travel by booking flights, accommodations, and ground transportation, etc.
  • Supporting CEO by accomplishing a variety of personal tasks and errands, in a quick and efficient manner.
  • Managing credit card reconciliation and expense reports on behalf of executive.
  • Screening and directing phone calls.
  • Being the point of contact and gatekeeper for the CEO - Identifying priorities.
  • Maintaining office and other properties organization and optimization.
  • Responding to occasional calls and emails outside of standard operating hours.
  • Being available and on call for any unexpected property issues or emergencies.
  • Assisting in special projects and other administrative duties as assigned.

Ideal Candidate

  • 2+ years' experience in an executive assistant role.
  • Experience with property maintenance is a plus.
  • Ability to schedule travel arrangements quickly through a cellphone or laptop.
  • Ability to prioritize tasks and self-manage as you support the CEO.
  • Proficient computer skills, including Microsoft Office.
  • Has a high-level of interpersonal skills to handle sensitive and confidential situations.
  • Conducts themselves with poise, professionalism, tact, and diplomacy.
  • Has patience as the role will have ebbs and flows of demand, and the ability to juggle multiple tasks simultaneously.
  • Operates with the highest integrity.
  • Can think strategically, anticipating both needs and roadblocks
  • Works proactively to keep tasks and projects moving forward.
  • Willingness to complete high-level and low-level tasks.
  • Working knowledge of software including Excel, Word, and PowerPoint.
  • Strong attention to detail.
  • Excellent written, verbal, and interpersonal communication skills
  • Valid driver's license with clean driving record.
  • Must be willing to use personal cell phone.

WORK SCHEDULE

The typical schedule for this position is Monday through Friday from 8:00 AM to 5:00 PM, but there will be occasions when the schedule varies beyond the specified times and will be adjusted. This position will work in-office at our St. George location.
