Our client is seeking an experienced Executive Assistant to provide high-level administrative support to senior leadership in a fast-paced, collaborative office environment. The ideal candidate is confident, organized, proactive, and able to take ownership of their responsibilities with minimal direction.
This is a hands-on role for someone who understands how to stay one step ahead of executives, manage competing priorities, and handle sensitive information with professionalism and discretion.
Location/Hours:
Portsmouth, NH | Onsite Monday-Friday, 8:00am-5:00pm
Compensation:
$75,000-$90,000/year
Responsibilities
- Manage complex calendars and scheduling for multiple executives, including coordinating meetings, adjusting priorities, and resolving scheduling conflicts.
- Coordinate domestic travel arrangements, itineraries, and related logistics.
- Organize internal and external meetings, including preparing agendas, materials, presentations, and follow-up items.
- Prepare, submit, and reconcile executive expense reports with a high level of accuracy.
- Serve as a trusted point of contact for executives, colleagues, clients, and external partners while handling sensitive information with discretion.
- Anticipate executive needs and proactively address scheduling, administrative, and logistical matters before they become issues.
- Gather, organize, and analyze information from multiple sources for reports, presentations, and special projects.
- Conduct research and assist with projects and initiatives as assigned.
- Support the preparation and coordination of quarterly board meetings and related materials.
- Assist with company events, meetings, and other organizational initiatives.
- Exercise sound judgment when responding to requests, determining priorities, and identifying when issues need to be escalated.
- Work closely with teams across the organization to ensure strong communication and follow-through.
- Take ownership of assigned projects and responsibilities from start to finish.
- Perform additional administrative duties as needed.
Qualifications
- 3+ years of experience supporting executives in an Executive Assistant or similar role.
- Strong proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Concur or other expense management experience is a plus.
- Excellent organizational skills, attention to detail, and follow-through.
- Strong communication, judgment, and problem-solving skills.
- Ability to work independently, manage competing priorities, and adapt to changing needs.
- Proactive and resourceful with the ability to anticipate executive needs.
- Professional, discreet, and comfortable handling confidential information.
- Collaborative team player who takes ownership and gets things done.
