Job summary

Mascaro Construction in Pittsburgh, PA is seeking an Executive Assistant to support the President & CEO, and other senior leaders. The role requires discreet handling of confidential matters, superb organization, and the ability to manage complex calendars and high‑priority projects in a fast paced setting.

You will liaise with internal and external stakeholders, prepare reports and presentations, arrange travel, and supervise the Corporate Administrator.

Qualifications

  • 4–6 years of executive‑level assistance or related roles.
  • Experience supporting senior executives in a fast‑paced corporate environment.
  • Strong attention to detail, confidentiality, and discretion.
  • Excellent written and verbal communication skills.

Responsibilities

  • Handle a wide range of executive support tasks including research and project management.
  • Manage complex calendars and scheduling for executive leadership.
  • Serve as a liaison between executive leadership, clients, and internal stakeholders.

Job description

Mascaro is seeking an Executive Assistant in Pittsburgh, Pennsylvania to support the President & CEO, Executive Vice Presidents, and General Counsel. In this role, the candidate will be responsible for executing in a fast‑paced environment, anticipating outcomes, and directly assisting in the accomplishment of leadership priorities in support of key business initiatives. You must be highly organized, detail‑oriented, self‑motivated, able to maintain strict confidentiality, and possess a demonstrated ability to respond effectively to rapidly changing workloads and priorities.

The Executive Assistant will have the ability to work independently on projects from conception to completion and must be able to work under pressure while handling a wide variety of activities and confidential matters with discretion. The Executive Assistant serves as a primary point of contact for internal and external constituencies and acts as a liaison to executive leadership and key stakeholders. Additionally, this position supervises the Corporate Administrator and assists with corporate initiatives, legal and risk management activities, company events, and administrative operations.

Job Requirements
  • 4-6 years of providing executive‑level assistance, operations support, project management, or event planning experience required.
  • Previous experience supporting senior executives in a fast‑paced corporate environment.
  • Excellent people management skills; previous supervisory experience preferred.
  • High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with CRM, ERP, or related business systems is a plus.
  • Innate desire to produce high‑quality work with a strong focus on detail and accuracy.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Ability to exercise sound judgment in a variety of situations.
  • Ability to manage multiple priorities and deadlines with minimal supervision.
  • Experience in construction, legal administration, risk management, or corporate operations is beneficial.
Essential Responsibilities
Executive Support
  • Handle a wide range of executive support‑related tasks involving administrative, research, and project management responsibilities.
  • Manage complex calendars and scheduling for executive leadership.
  • Serve as a communication liaison between executive leadership, clients, and internal stakeholders.
  • Prepare correspondence, reports, presentations, and other business documents.
  • Coordinate executive travel arrangements and meeting logistics.
  • Assist in the preparation and execution of executive assignments, meetings, events, and special projects.
  • Supervise the Corporate Administrator.
Legal & Risk Management
  • Assist with the management of legal and insurance claims.
  • Maintain and manage organizational licensing, permitting, and registration requirements.
  • Support department initiatives including project risk audits and related activities.
  • Maintain confidential records and documentation as required.
Corporate Initiatives
  • Provide structure and practical support for company initiatives.
  • Assist in coordinating company events and executive functions.
  • Support Giving Back and community engagement efforts.
  • Assist in maintaining corporate documentation, policies, and Standard Operating Procedures.
