Qualifications

We are currently searching for an Executive Assistant to join our Legal team. The Executive Assistant will p rovide administrative and various types of support to the CFO and CRO . They will be r esponsible for efficient and effective handling of requests, phone calls, messages, routing correspondence, etc.

This is an in-office position.

Essential Job Functions :

  • Acts as a point of contact between the CFO and CRO, and internal/external clients.
  • Responsible for efficient and effective handling of requests, phone calls, messages, routing correspondence, etc.
  • Maintain knowledge of governance structure in order to provide accurate and sound guidance.
  • Responsible for establishment of the annual budget as well as preparation and tracking of expense reports and receipts; ensuring budget coordination and expense tracking for each office.
  • Responsible for the accurate preparation of Nation Convention per diem analysis, confirmation of per diem delegate amounts and distribution of pre diem checks.
  • Produces requested reports, provides assistance on development of presentations, calendar management, event reminders, ensuring that WoodmenLife’s Corporate Seal is on all official correspondence for the organization, etc.
  • Prepare and archive all Official Records for WoodmenLife according to set procedures for easy retrieval upon request.
  • Provide Administrative support as needed to the Compensation Committee, Audit Committee, Woodmen Financial Services and WFS Holdings, Inc. Support to include but not limited to preparation and distribution of meeting notes, preparation of Consent in “Lieu of Notice” Stakeholder Notice, and creation of Agenda for Holdings.
  • Partners with division administrative assistants to coordinate calendars, plan joint events, and manage information and communication.
  • Responsible for making and coordinating travel arrangements when necessary.
  • Acts as a representative for the Executive Offices by welcoming visitors, answering questions and meeting requests.
  • High School degree or equivalent education required, 5-8 years of similar work supporting a Vice President or Executive Officer.
  • Knowledge of or previous experience with Parliamentary Procedures (Robert’s Rules of Order).
  • Excellent prioritization skills.
  • Ability to provide strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and ability to meet deadlines.
  • Ability to work effectively in a fast-paced, dynamic, team centric organization.
  • Strong ability to multi-task; be flexible and adaptable.
  • Proven success in building relationships and getting things done with and through others.
  • Demonstrated ability to devise proactive approaches to problem-solving with an emphasis on independent decision making.
  • Proven success working with and maintaining strict confidentiality of sensitive information; demonstrated high level of integrity.
  • Excellent communication skills and ability to interact with associates at all levels within the organization.
  • Excellent knowledge of MS Office.
  • The ability to provide seamless, trustworthy, attentive and resourceful customer service.
  • Engages well with others and are passionate about providing an exemplary customer experience.
