We're looking for a talented individual to take on a vital role providing high-level administrative and office management support to a team of senior leaders for a Global Consulting firm. You'll be the go-to person for managing complex schedules and handling confidential information to streamlining office procedures, and supporting special projects; no two days will be the same. You'll balance priorities across multiple stakeholders, using sound judgment, keen attention to detail, and strong organizational skills to keep everything on track.

Responsibilities

  • Provide high-level administrative support to senior professionals, including complex calendar management, time-entry and billing, domestic and international travel coordination, expense reporting, and ad hoc requests.
  • Serve as a key liaison across departments by navigating Firm resources to conduct conflict checks, gather information, and ensure a timely response to internal and external requests.
  • Oversee office supply inventory and kitchen stock, ensuring consistent availability and ordering replenishments as needed.
  • Coordinate and place weekly lunch orders, accommodating dietary preferences and team schedules.
  • Maintain clean and organized common areas throughout the day, proactively addressing debris and clutter to uphold a professional environment.
  • Reconcile and submit monthly credit card statements, ensuring accuracy and compliance with firm policies.
  • Serve as the primary point of contact for day-to-day staff needs, facilitating timely assistance and resolution.
  • Manage package receipt and distribution, ensuring secure and accurate handling of all deliveries.
  • Welcome and assist guests and speakers, ensuring a professional and hospitable experience.
  • Proactively manage building maintenance issues by coordinating with property management and vendors for prompt resolution.
  • Plan and execute in-office events, including happy hours and holiday celebrations, from concept to completion.

Ideal Experience

  • 5+ years of administrative support experience required.
  • Proficient in Microsoft products (including Outlook, Word, Excel and PowerPoint).
  • Ability to independently troubleshoot issues and arrive at solutions.
  • Excellent communication skills, both written and verbal.
  • Detail oriented and resourceful in completing projects.
  • Ability to multitask with accuracy and strict attention to detail.
  • High level of integrity and ability to handle sensitive information with the utmost discretion.
  • Genuine desire to contribute to a high-achieving, collaborative environment.
