Job summary

Summary:
Our EAs are viewed as strategic partners who enable our teams to deliver gold standard work to our clients. In addition to providing administrative leadership for the PEPI practice, the EA will also be responsible for planning, coordinating, and executing special projects and events. The candidate should be motivated, resourceful, organized, poised, and able to operate independently with strong attention to detail.


RESPONSIBILITIES:
  • Manage and coordinate Managing Directors’ calendars efficiently through Outlook.
  • Handle travel arrangements from planning to booking flights, hotels, and ground transportation.
  • Prepare and submit expense reports for Managing Directors using Concur, ensuring timely reconciliation of corporate credit card transactions.
  • Work closely with the staff to keep the team well informed of upcoming commitments and responsibilities, following up as appropriate.
  • Accurately record Managing Directors’ hours in Agresso to support effective financial tracking and resource management.
  • Prepare and submit conflict memos and request project codes to facilitate engagement tracking and compliance.
  • Review and process vendor invoices to ensure timely and accurate payment to vendors.
  • Assist with client invoice and allocation processes.
  • Update the Pipeline Tracking Tool with current information as requested.
  • Help plan, coordinate, and attend internal or client-facing events as needed.
  • Assist with department and operational activities/projects as needed and perform other work-related duties as assigned.
Qualifications:
  • Minimum of 5 years' experience as an Executive Assistant or in Business Operations, preferably within consulting or professional services.
  • Bachelor’s Degree preferred in relevant field or equivalent experience (Degree in business-related field a plus).
  • Highly proficient in Microsoft Office Suite, Concur, & SharePoint.
  • Strong interpersonal and relationship-building skills, with the ability to support multiple executives with diverse working styles.
  • Excellent written and verbal communication skills with a focus on clarity, thoroughness, follow-through, and confidentiality.
  • Able to work independently and in a team in a fast-paced environment.
  • Strong project and time management skills with a track record of meeting deadlines and working efficiently under pressure.
  • Flexible and proactive in acquiring new knowledge and tackling changing priorities.
  • Willing to work additional hours as required.

The salary range is $70,000-$85,000 annually, dependent on variables including education, experience, skills, and geography. A&M offers a discretionary bonus program based on individual and firm performance. Please ask your recruiter for details.

Full-time and Part-time Positions Over 30 hours

Regular employees working 30 or more hours per week are entitled to participate in Alvarez & Marsal’s benefits, including healthcare, flexible spending accounts, life, AD&D, disability coverages, and a 401(k) plan. Employees may also receive a discretionary contribution to their 401(k). Paid time off includes vacation, personal days, sick time, holidays, and parental leave.
