Job summary

VNS Health is seeking an organized administrator to manage the Executive Vice President’s office and coordinate daily activities. You will assist with correspondence, data preparation, and presentation materials, ensuring timely delivery and accuracy.

You will review agency data, maintain calendars, and track goals, while supporting budgets and cost centers. Strong communication and multi-tasking are essential in this fast-paced environment.

Qualifications

  • High School Diploma required.
  • 4+ years of progressive administrative experience required.
  • Proficient with Microsoft Windows and MS Office (Word, Excel, Access).
  • Excellent written and verbal communication and interpersonal skills.

Responsibilities

  • Coordinate day-to-day operations of the EVP office.
  • Assist EVP with correspondence and presentation materials.
  • Review and summarize agency data and reports.
  • Maintain EVP calendar and track deadlines; follow up as needed.
  • Plan and execute assignments and projects; make presentations as assigned.
  • Resolve administrative issues and respond to staff/community inquiries.
  • Attend meetings, take notes, and follow up on action items.
  • Monitor monthly GL and assist with budget; track expenses.
  • Provide required administrative support using standard software.

Overview

Manages and coordinates the office and activities of the Executive Vice President. Assists Executive Vice President in meeting goals and objectives of Visiting Nurse Service of New York and VNS Home Care. Works under general supervision.

What You Will Do
  • Plans, organizes and coordinates day-to-day operations and administration of the office of the EVP.
  • Assists the EVP with the preparation of correspondence, data and drafting of materials for presentations, reports, publications, etc.
  • Reviews, tracks, analyzes, and summarizes Agency and program/department data and reports.
  • Maintains calendar of due dates of recurring reports, information and dates as requested by the EVP, as required; follows up on outstanding requests, as necessary. Tracks and monitors annual goals and progress towards completion of assignments.
  • Plans, directs, coordinates, undertakes, evaluates, and makes recommendations in connection with designated assignments and projects, as assigned. Makes presentations, as assigned.
  • Resolves administrative and policy issues within guidelines. Responds to inquiries from staff and the community.
  • Attends meetings as assigned, takes notes and does follow-up after meeting to ensure assignments, projects, and other tasks are progressing on a timely basis. May represent EVP at meetings.
  • Reviews monthly G/L and works with EVP on annual budget. Maintains account of business expenditures for all relevant cost centers.
  • Utilizes appropriate equipment and computer software packages to provide support to the EVP and other staff, as required.
  • Answers and screens telephone calls; takes messages; routes calls and follows up, when appropriate.
  • Maintains files, sort mail, directs incoming and outgoing correspondence to appropriate areas for action; determines and, as appropriate, performs other follow-up action.
  • Participates in special projects and performs other duties as assigned.
Qualifications

Education: High School Diploma or the equivalent Required
Work Experience: Minimum of four years of progressive administrative, business or office management experience Required
Proficient with personal computers, including Microsoft Windows: Word, Excel, and Access Required
Effective oral/written communication and interpersonal skills Required
Ability to multi-task in a fast-paced environment Required

Pay Range

USD $37.32 - USD $46.66 /Hr.
