Job summary

ARCO/Murray invites a detail-oriented Executive Assistant to join our Nashville team. You will manage calendars, coordinate travel, and assist with planning, while interfacing with principals and other executives to keep operations smooth and professional.

Responsibilities include creating PowerPoint presentations, handling Salesforce data and reports, and maintaining records. The role supports client relations and office administration in a fast-paced construction environment.

Qualifications

  • 2+ years of related experience.
  • Bachelor's Degree required.
  • Excellent computer skills. Must be proficient in Microsoft Word and Excel.
  • Bluebeam experience is a plus.
  • Salesforce experience is a plus.
  • Must be extremely organized and detail oriented.
  • Excellent communication and customer service skills.
  • Ability to work in fast-paced environment.
  • Ability to multi-task.
  • Proactive management style.
  • Ability to manage different personalities.

Responsibilities

  • Manage calendar and meetings; coordinate travel.
  • Create PowerPoint presentations as needed.
  • Serve as liaison between internal departments, Principals, and executives.
  • Assist with internal business planning and departmental plans.
  • Maintain general records and document control.
  • Coordinate events and registrations.
  • Support client relations and scheduling of off-site events.
  • Enter data into Salesforce, build reports, and manage systems.
  • Handle expense reporting.
  • Coordinate with building management on office issues.
  • Develop and manage office budget; negotiate vendor relationships.
  • Ensure stock of office supplies and upkeep of client-facing spaces.

A DAY IN THE LIFE


  • Calendar and meeting management; including scheduling and travel coordination.

  • Conducting research and creating PowerPoint presentations on an as needed basis

  • Manage communication and act as liaison between internal departments, Principals, and other executives

  • Assist with internal business planning and assembly of departmental business plans

  • General records management and document control

  • Event registration and planning

  • Client relations (purchasing gifts, scheduling/planning off-site events, etc.)

  • Salesforce data entry, report building, and system management

  • Expense reporting

  • Manage relationships with the property manager to address any building announcements and/or address any office maintenance issues

  • Develop office budget and manage vendor relationships and negotiations in order to stay within the budget

  • Ensure proper stock of all office supplies and equipment

  • Ensure office common spaces are always presentable, with a focus on client-facing spaces


NECESSARY QUALIFICATIONS


  • 2+ years of related experience

  • Bachelor\'s Degree required

  • Excellent computer skills. Must be proficient in Microsoft Word and Excel

  • Bluebeam experience is a plus

  • Salesforce experience is a plus

  • Must be extremely organized and detail oriented

  • Excellent communication and customer service skills

  • Ability to work in fast-paced environment
