Job summary

ARCO the Design/Build Experts in Austin, Texas invites a detail-oriented Executive Assistant to support principals and drive smooth operations from day one. You will manage calendars, coordinate travel, prepare PowerPoint presentations, and act as a liaison across departments while maintaining files and records.

Requirements include 2+ years of related experience, a Bachelor’s degree, and proficiency in Word and Excel; Bluebeam and Salesforce experience are a plus in a fast-paced construction

Qualifications

  • 2+ years of related EA/administrative experience.
  • Bachelor's Degree required.
  • Proficient in Microsoft Word and Excel.
  • Bluebeam and Salesforce experience is a plus.
  • Excellent communication and customer service skills.
  • Extremely organized and detail oriented.
  • Ability to multi-task and work in a fast-paced environment.
  • Proactive management style; able to handle different personalities.

Responsibilities

  • Calendar and meeting management; including scheduling and travel coordination.
  • Research and create PowerPoint presentations as needed.
  • Liaise between internal departments, Principals and executives.
  • Assist with internal business planning and departmental plans.
  • General records management and document control.
  • Event registration and planning.
  • Salesforce data entry, reports, and system management.
  • Expense reporting.
  • Manage relationships with the property manager for office issues.
  • Develop office budget and vendor negotiations to stay within budget.
  • Ensure stock of office supplies and that spaces are presentable.

A DAY IN THE LIFE
  • Calendar and meeting management; including scheduling and travel coordination.
  • Conducting research and creating PowerPoint presentations on an as needed basis
  • Manage communication and act as liaison between internal departments, Principals, and other executives
  • Assist with internal business planning and assembly of departmental business plans
  • General records management and document control
  • Event registration and planning
  • Client relations (purchasing gifts, scheduling/planning off-site events, etc.)
  • Salesforce data entry, report building, and system management
  • Expense reporting
  • Manage relationships with the property manager to address any building announcements and/or address any office maintenance issues
  • Develop office budget and manage vendor relationships and negotiations in order to stay within the budget
  • Ensure proper stock of all office supplies and equipment
  • Ensure office common spaces are always presentable, with a focus on client-facing spaces
NECESSARY QUALIFICATIONS
  • 2+ years of related experience
  • Bachelor's Degree required
  • Excellent computer skills. Must be proficient in Microsoft Word and Excel
  • Bluebeam experience is a plus
  • Salesforce experience is a plus
  • Must be extremely organized and detail oriented
  • Excellent communication and customer service skills
  • Ability to work in fast-paced environment
  • Ability to multi-task
  • Proactive management style
  • Ability to manage different personalities
