Job summary

Van Drunen Farms is seeking an experienced Executive Assistant to support two Executive Leaders, managing calendars, travel, and communications to maximize productivity. This role sits in our Illinois office and offers competitive hourly pay and comprehensive benefits.

You will draft executive communications, coordinate meetings, track action items, and liaise with internal teams and external partners, contributing to strategic initiatives in a fast-paced environment.

Qualifications

  • Five or more years of related professional experience, with previous experience supporting C-level executives preferred.
  • Bachelor's degree in Business Administration or a related field preferred.
  • Exceptional written, verbal, and interpersonal communication skills with the ability to interact effectively at all organizational levels.
  • Advanced organizational, project management, multitasking, and time management abilities with outstanding attention to detail.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, SharePoint, and OneDrive.
  • Strong judgment, discretion, problem-solving skills, adaptability, and the ability to manage confidential information in a fast-paced environment.

Responsibilities

  • Provide high-level administrative support to two Executive Leaders, managing complex calendars, priorities, and schedules to maximize productivity and efficiency.
  • Coordinate travel arrangements, prepare itineraries, organize logistics, and ensure executives are fully prepared for meetings and engagements.
  • Draft, prepare, and manage executive-level communications, presentations, reports, agendas, correspondence, and other business-critical documents.
  • Serve as a primary liaison between executives, senior leadership, internal departments, customers, and external stakeholders while maintaining discretion and professionalism.
  • Coordinate meetings, record minutes, track action items, conduct research, manage special projects, and support strategic initiatives from planning through execution.
  • Support administrative operations through expense reporting, document management, event planning, receptionist coverage, and executive office coordination.

Bonus: This role may further qualify for supplemental compensation in the form of bonus and incentive programs, contingent upon achieving pre-established individual and company performance metrics.

Physical & Work Environment Requirements
  • Ability to sit and work on a computer for extended periods.
  • Manual dexterity required to operate a computer keyboard and handle documents.
  • Sufficient visual acuity to read computer screens, handwritten materials, and printed documents.
  • Adequate hearing and verbal communication abilities for in‑person and telephone interactions.
  • Ability to perform all essential job functions with or without reasonable accommodation.
  • Primarily works in an indoor office environment with occasional exposure to office noise and distractions.
