Executive Assistant to International Consulting Firm

Downtown LA, onsite

Position Summary:

Our client is seeking an Executive Assistant who will partner closely with senior leadership, including Partners and Vice Presidents, to deliver high-level administrative and case-related assistance. This role also involves collaboration with fellow EAs and stepping in to provide support as needed.

The ideal candidate will have consulting or law firm experience.

Key Responsibilities:

  • Offers proactive and personalized administrative and case support to assigned Partners.
  • Oversees the scheduling and organization of internal and external meetings for Partners, ensuring efficient use of time and resources.
  • Organizes conference rooms and related logistics. Supports the preparation of meeting materials such as agendas, slide decks, correspondence, briefing documents, and may take notes during meetings.
  • Plans and books travel through designated travel agents as well as handles itinerary updates, adjustments, and cancellations.
  • Collaborates with Partners and the finance team to draft, review, finalize, and distribute client invoices, ensuring adherence to client-specific billing guidelines.
  • Prepares and submits expense reports on behalf of assigned Partners.
  • Updates and organizes both business and personal contact information for Partners.
  • Maintains both digital and physical filing systems for easy retrieval and archival.
  • Composes, edits, formats, and transcribes various written materials, including emails, letters, memos, presentations, bios, and meeting documentation.
  • Works cooperatively with EA colleagues, provides reliable backup support
  • Maintains confidentiality and acts with integrity and accountability.
  • Anticipates needs and identifies potential challenges before they arise, taking steps to address them early.

Qualifications:

  • Bachelor’s degree is preferred.
  • At least 5 years of relevant administrative experience is required; 5–10 years strongly preferred.
  • Experience in a professional services environment is advantageous.
  • Prior support of multiple senior executives is beneficial.
  • Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, OneNote, Teams) is highly desirable.
