Executive Assistant to Management Team (Remote – Pacific Time | Bilingual | LATAM-Based)

Location: Remote – Applicants must be based in Latin America.

Schedule: Monday–Friday, 7:00 AM – 4:00 PM Pacific Time (Full-Time)

Compensation: $1,500 USD/month (Contract)

About the Role

We’re a fast-growing structural concrete subcontractor based in Southern California, seeking a highly organized, bilingual, and tech-savvy Executive Assistant to support our Management Team.

This is a full-time remote role, requiring availability during Pacific Time hours (7 AM – 4 PM PT, Monday through Friday).

Applicants from across Latin America are welcome, especially those fluent in English and Spanish, detail-oriented, and passionate about bringing structure, accountability, and momentum to a high-growth business.

You will support internal operations, managing calendars, emails, team follow-ups, SOP creation, and assisting with light marketing and AI integration.

Key Responsibilities
  • Manage calendars, inboxes, meetings, and priorities for leadership
  • Organize and triage over 100 emails daily, flag critical items, respond or dismiss low-priority messages
  • Attend or review internal meetings, take notes, assign follow-ups, and track accountability
  • Utilize AI tools (like ChatGPT) for drafting emails, summaries, and workflow streamlining
  • Create and maintain SOPs, organize digital files and shared drives (Microsoft 365, SharePoint)
  • Assist with implementing and managing task platforms (Microsoft Planner, Asana, etc.)
  • Coordinate travel, scheduling, birthdays, and light personal support
  • Support basic marketing efforts (LinkedIn posts, WIX website updates)
Ideal Candidate
  • Based in Latin America
  • Fluent in English and Spanish (written and spoken)
  • 3+ years experience as an Executive Assistant or similar role
  • Excellent communication, organization, and problem-solving skills
  • Proficient with Microsoft 365, HubSpot, task management tools, and cloud platforms
  • Familiar with AI tools like ChatGPT for productivity
  • Proactive, responsive, and independent
  • Able to hold others accountable and help leadership stay focused
