Overview

The Executive Assistant is responsible for working directly with C-level executives and performing a number of administrative duties.

Responsibilities
  • Coordinates executive communications, including taking calls, and interfacing with clients.
  • Files and retrieves documents and reference materials.
  • Reconciles business credit card statements, enters timesheets, and submits expense reports.
  • Upholds a strict level of confidentiality.
  • Manages and maintains executives' schedules, appointments and travel arrangements.
  • Arranges and co-ordinates meetings and events for Development and CEO's office.
  • Works with other Administrative staff to plan our company-Little Rock team events/activities.
  • Records, transcribes and distributes minutes of meetings.
  • Printing and binding of meeting materials/proposals.
  • Monitors, screens, responds to and distributes incoming communications including emails for Chief Development Officer.
  • Receives and interacts with incoming visitors.
  • Liaise with internal staff at all levels.
  • Other duties as assigned.
Qualifications
Required Education, Experience, and Qualifications
  • High school diploma or GED equivalent with 3 years of experience reporting to senior management.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking.
  • Ability to maintain confidentiality.
  • Exceptional interpersonal skills.
  • Attention to detail.
  • Advanced Microsoft Office and Outlook skills, with an ability to become familiar with firm specific programs.
  • Experience booking travel.
  • Effective verbal and written communication skills.
  • Detail-oriented and willing to tackle various ongoing projects in a fast-paced environment.
  • Versed in the industry and the Company’s competitors.
  • Ability to multitask and perform duties outside of the scope of work when necessary.
Preferred Education, Experience, And Qualifications
  • Bachelor's degree.
  • Legal knowledge and/or experience.
Travel Requirements
  • Minimal travel is expected for this position.
Physical/Work Environment Requirements
  • Prolonged periods of sitting at a desk and working on a computer.
  • Climbing stairs.
  • Remaining in a stationary position, often kneeling, standing or sitting for prolonged periods.
  • Repeating motions that may include the wrists, hands and/or fingers.
  • Quiet environment.
  • Light work that includes adjusting and/or moving objects up to 20 pounds.
