Position Overview
The Executive Assistant provides high‑level administrative support to the Executives of South Central, Inc. This role is responsible for managing complex calendars, ensuring operational efficiency across meetings and priorities, and proactively supporting executive workflows, ensuring the executive team stays focused on highest‑value tasks. The ideal candidate is detail‑oriented, highly organized, technologically fluent, and eager to leverage modern tools—including AI—to streamline communication, scheduling, and task execution. This role is full‑time exempt based in our office in Evansville, IN and reports to the COO.
Key Responsibilities
- Calendar & Schedule Management
- Coordinate, prioritize, and manage complex calendars for executives
- Anticipate scheduling needs and proactively adjust for changes or conflicts
- Communication & Coordination
- Act as a primary point of contact for internal and external stakeholders
- Maintain confidentiality with utmost discretion
- Operational Support
- Assist with preparation for meetings, board materials, and presentations
- Track action items, deadlines, and deliverables across multiple projects
- Maintain organized digital filing systems and shared drives
- Manage scheduling tools, Teams, and document collaboration systems.
- Confidently navigate Microsoft 365 (Outlook, Word, Excel, PowerPoint, SharePoint).
- Eager to learn and adopt new technology tools to improve efficiency (e.g., AI scheduling, summarization, and document drafting tools)
- AI & Process Optimization
- Use AI‑based tools (e.g., ChatGPT, Microsoft Copilot, or similar) to assist with drafting communications, managing data, and improving workflow productivity
- Identify opportunities to automate recurring administrative tasks
- Professionalism & Representation
- Represent the executive office with polish, professionalism, and reliability.
- Uphold the company’s values and brand voice in all interactions.
Qualifications
- Minimum 5 years’ experience supporting senior executives or business owners
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Advanced proficiency in Microsoft 365 and cloud‑based collaboration tools
- Demonstrated ability to learn and embrace emerging technology, including AI
- Ability to manage competing priorities with discretion and sound judgment
