Job summary

The State of Missouri's DSS Information Technology team seeks an Executive Assistant to support the CTO and CDO in-office in Jefferson City, MO. This senior role oversees IT procurement documentation, data governance support, and project lifecycles while elevating executive efficiency.

You will manage executive priorities, coordinate complex travel, and maintain SharePoint architecture and internal communications, with a focus on security and compliance.

Qualifications

  • 3+ years of experience supporting C-suite executives in a fast-paced environment.
  • Experience in state government, IT procurement, or data-driven organizations is preferred.
  • Excellent written and verbal communication, with ability to interface with engineers, legal teams, and vendors.

Responsibilities

  • Serve as the executive liaison and main point of contact for the CTO and CDO, exercising high-level judgment in inquiries and briefings.
  • Provide proactive executive support, managing shifting priorities and removing bottlenecks before they impact executives.
  • Lead quality control for procurement documents (RFPs/PAQs) and IT project deliverables to meet state standards.
  • Assist with intranet content management (SharePoint) to maintain accurate internal communications.
  • Capture dense technical discussions into clear, actionable notes and milestones.
  • Build and maintain SharePoint architecture, permissions, version control, and workflows.
  • Coordinate travel logistics and oversee expense reporting in line with state policies.
  • Serve as Safety Coordinator and support business continuity planning.
  • Exercise judgment to protect sensitive information and contracts.

Job description

The DSS Information Technology (IT) Team has an opening for an Executive Assistant to the Chief Technology Officer (CTO) and Chief Data Officer (CDO), located in Cole County.

Semi-Monthly Salary: The current rate for this position is $2,583.34. Individual(s) selected for this position may receive a higher rate based on a pay differential (e.g. shift, or time-of-service pay).

Annual Salary: $62,000.16

What You’ll Do
  • Serve as the executive liaison and main point of contact for the CTO and CDO, exercising high-level judgment in screening and routing inquiries, sensitive inter-agency communications, and executive-level briefings.
  • Provide proactive executive support to the CTO and CDO, managing shifting priorities, anticipating roadblocks, resolving scheduling conflicts, and removing administrative bottlenecks before they impact the executives.
  • Lead the quality control process for technical procurement documents including Requests for Proposal (RFPs) and Project Assessment Quotations (PAQs); Information Technology Advisory Board (ITAC) submissions; and project deliverables. Ensure all documentation meets state standards and technical specifications.
  • Assist in departmental intranet content management by formatting, updating, and maintaining departmental intranet sites (via SharePoint or similar content management systems) to ensure internal communications are accurate and up to date.
  • Exercise high-level technical literacy and transcription skills in IT and Data leadership meetings, capturing and conveying dense technical discussions (architecture, data pipelines, infrastructure) into clear, actionable technical notes, decisions, and trackable milestones.
  • Build and maintain SharePoint architecture. Must understand how to structure document libraries, manage permissions, enforce strict version control, and utilize SharePoint workflows to automate administrative processes.
  • Lead and coordinate logistics and financial oversight. managing complex travel itineraries and conference logistics (registration, lodging, transportation, speaking schedules, etc.) for the CTO and CDO. Oversee expense reporting and time-management summarization, ensuring compliance with state budgetary policies and federal guidelines.
  • Serve as the designated Safety Coordinator, leading unit-level safety protocols and business continuity planning.
  • Exercise sound, independent judgement to protect sensitive information, proprietary data, pending vendor contracts, intellectual property, and digital infrastructure.
Minimum Qualifications

3 or more years of experience supporting C-suite executives as an Executive Assistant or similar role in a fast-paced executive environment, ideally within State government, IT procurement, or a large-scale data-driven organization.

Preferred Qualifications
  • Exceptional written and verbal communication skills with the ability to clearly and concisely communicate and convey complex IT concepts with clarity and brevity. Must be able to confidently interface with software engineers, data scientists, legal teams, external vendors, and other executive leadership.
  • Advanced proficiency in Microsoft 365 with specific expertise in SharePoint administration, Excel data management, and collaborative document versioning tools.
  • Proven ability to work with a high degree of autonomy, managing complex, competing priorities from multiple C-suite executives while maintaining meticulous attention to detail.
