A prestigious international law firm is seeking an experienced Executive Assistant to provide high-level support to a group of attorneys and firm leaders in its Houston office. The Executive Assistant will serve as a strategic partner to attorneys, coordinating schedules, travel, client interactions, and administrative operations while ensuring daily activities run smoothly. This is a full-time, permanent opportunity based onsite in downtown Houston. Standard office hours are 8:30 a.m. to 5:00 p.m., with occasional flexibility needed to support business demands.
Key Responsibilities
- Provide comprehensive administrative and executive-level support to assigned attorneys and partners.
- Manage busy calendars, coordinate meetings, and oversee scheduling logistics.
- Arrange domestic and international travel, including complex itineraries and related accommodations.
- Process expense reports and assist with reimbursement documentation.
- Support time entry, invoicing, and billing activities while ensuring adherence to client requirements.
- Organize client meetings, firm events, conferences, and business development initiatives.
- Maintain and update client and contact information within the firm's CRM system.
- Create and edit presentations, reports, agendas, correspondence, and other professional documents.
- Collaborate with administrative staff to identify efficiencies and promote best practices.
- Handle highly confidential information with discretion and professionalism.
Qualifications
- At least 5 years of experience supporting senior executives, attorneys, partners, or other high-level professionals.
- Prior experience within a law firm or professional services environment is strongly preferred.
- Advanced Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint.
- Demonstrated success managing complex scheduling demands and shifting priorities.
- Experience coordinating extensive travel arrangements, including international travel.
- Strong organizational and project management capabilities with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality, exercise independent judgment, and remain composed under pressure.
- Proactive approach to problem-solving with the ability to anticipate needs and take initiative.
