Job summary

Greencroft Communities is seeking an experienced Executive Assistant to support our executive leadership team. This role requires outstanding organization, communication, and problem-solving to help leaders manage priorities and keep conversations and projects moving.

You will coordinate calendars, prepare materials, create reports, and protect confidential information while fostering collaboration across departments.

Qualifications

  • Three to five years of executive assistant or comparable high-level administrative experience is preferred.
  • Exceptional organization and time-management skills.
  • Strong critical-thinking and problem-solving abilities.
  • Confidence managing multiple priorities and changing needs.
  • Clear, polished written and verbal communication skills.
  • Strong proofreading and editing skills; copy-editing experience is preferred.
  • Professional telephone and customer-service skills.
  • Discretion and sound judgment with confidential information.

Responsibilities

  • Coordinate calendars, meetings, appointments, and schedules for assigned Vice Presidents.
  • Stay one step ahead by anticipating needs, priorities, and potential scheduling challenges.
  • Prepare meeting agendas and materials, record minutes, and follow up on action items.
  • Create and edit reports, correspondence, presentations, and other professional documents.
  • Protect confidential information while using good judgment about what should be communicated and to whom.
  • Provide support for special projects and organizational initiatives.
  • Help strengthen communication and collaboration among leaders and teams.
  • Build positive working relationships with residents, team members, leaders, and partners.
  • Look for ways to improve processes, organization, and efficiency.
  • Provide additional support to Greencroft Communities as needs evolve.
  • Reflect Greencroft’s mission and Croft values in daily work.

Greencroft Communities is looking for an experienced Executive Assistant to work alongside members of our executive leadership team. This role combines organization, communication, problem-solving, and relationship-building. You’ll help leaders manage their priorities, keep important conversations and projects moving, and create greater connection across the organization.

No two days will look exactly the same. One day may include coordinating a full calendar and preparing materials for an upcoming meeting. The next may involve tracking action items, edit an important communication, or help organize a special project. Throughout it all, you’ll be a trusted resource who brings consistency, good judgment, and a calm, professional approach to the work.

Schedule: M-F 8A - 5PM

**Meeting the expectations of this position requires work beyond forty (40) hours per week but typically will not exceed fifty (50) hours per week.

Your Role in the Team

As our Executive Assistant, you will:

What You’ll Bring

We’re looking for someone who brings both strong administrative experience and a people-centered approach to the role.

  • Three to five years of executive assistant or comparable high-level administrative experience is preferred.

  • Proficiency with Microsoft applications and the ability to work comfortably across multiple software systems.

  • Professional telephone and customer-service skills.
  • Discretion and sound judgment when working with confidential information.
  • The initiative to anticipate needs and move work forward with minimal direction.
  • Experience in senior living or a Continuing Care Retirement Community is a plus.
