We are seeking a highly organized, proactive, and resourceful Executive Assistantto support our CEO and executive staff. This role is critical in ensuring the CEO’s time is optimized and strategic priorities are met. The ideal candidate will excel in a fast-paced environment, demonstrate exceptional communication skills, take pride in serving others, and embody OmniByte’s mission and core values in every interaction.

Key Responsabilities
  • Provide comprehensive administrative support to the CEO and other executive staff as needed, including calendar management, travel coordination, and meeting preparation.
  • Act as a liaison between the CEO and internal/external stakeholders, ensuring timely and professional communication.
  • Prepare reports, presentations, and correspondence with a high level of accuracy and confidentiality.
  • Anticipate needs and proactively manage priorities to keep the CEO focused on strategic objectives, and keep the executive(s) one step ahead.
  • Coordinate special projects and assist with company initiatives aligned with OmniByte’s mission and values.
  • Draft, format, and coordinate documents and agreements for customers and partners.
  • Support Finance/Operations with vendor payables, customer invoicing, time sheets, expense reports, office supply management, and basic reporting,
  • Maintain clean documentation, task lists, and systems to support executive team focus.
  • Actas a gatekeeper and trusted point of contact.
  • Manage open loops and ensure nothing drops.
  • Support a fast-paced leadership environment with discretion and sound judgment
  • Maintain discretion and confidentiality in all matters.
Qualifications (Tech-Savvy Required)
  • Proven experience as an Operations, Administrative or Executive Assistant, or similar role supporting senior leadership.
  • Exceptional organizational and time-management skills with the ability to handle multiple priorities. Requires a thorough knowledge of organizational functions, people, programs, and projects.
  • To be successful in this role, the Executive Assistant demonstrates a high level of interpersonal skills, written and verbal communication skills and accommodates working styles and perspectives of diverse individuals across all levels of the organization.
  • Proficiency in Microsoft tools: Microsoft Office Suite, Teams, and other productivity tools.
  • Ability to work onsite in Fargo, ND, and thrive in a fast-paced, growth-oriented environment.
Additional Qualifications a Plus
  • CRM systems (specifically HubSpot).
  • Microsoft Business Central or similar accounting software.
  • Note-taking and collaboration tools.
  • Experience working in tech startups or fast-growing tech companies is a strong plus.
