Overview

A private financial services firm is seeking a polished and proactive Executive Assistant to support senior leadership, including members of the C-suite. This role is ideal for someone who is confident navigating complex calendars, coordinating travel and vendor processes, and building board-ready presentations.

The team is high-performing, fast-paced, and deeply collaborative. The role requires someone who can take initiative, create structure, and operate with exceptional professionalism. A background supporting executives at the VP or C-level is essential.

Key Responsibilities

  • Manage complex calendars and coordinate high-level meetings with internal and external stakeholders
  • Oversee travel logistics and process expense reports (Concur)
  • Create and polish PowerPoint presentations for leadership and board meetings
  • Coordinate and manage documentation for vendor onboarding
  • Support project-based work and help shepherd initiatives across business functions
  • Act as a liaison between executives and internal departments, ensuring timely communication and execution

Qualifications

  • 5+ years supporting senior executives in a high-accountability environment
  • Strong proficiency in Microsoft Office, especially:
  • Excel (VLOOKUP and Pivot Tables a plus)
  • PowerPoint (must be able to create decks from scratch with branding in mind)
  • Outlook and Teams
  • Experience managing vendor contracts, expense reporting, and calendaring for multiple leaders
  • Clear, confident communication and strong judgment; can represent executives professionally
  • A solutions-focused mindset and willingness to take initiative
