The ideal candidate demonstrates dynamic communication, leadership through multiple priorities, and a commitment to teamwork, quality and service. On-site presence in Corte Madera is required.

Qualifications

• 5+ years of proven experience as an Executive Assistant or in a similar role supporting senior leadership in fast-paced environments.
• Strong organizational and time management skills with ability to prioritize multiple tasks and meet tight deadlines.
• Move with urgency and precision, adapting to shifting priorities while maintaining high-quality support.
• Excellent written and verbal communication, handling sensitive information with discretion.
• Experience in preparing presentations and visual collateral using commonly used tools.

This role serves as a trusted partner, ensuring seamless administrative operations while driving efficiency across all aspects of a complex business and supporting strategic goals and initiatives. The ideal candidate embodies dynamic communication skills, expertise in leading through multiple high-level priorities and an unwavering commitment to teamwork, quality and service.

YOUR RESPONSIBILITIES

• Anticipate needs by analyzing information, preparing briefing materials, and distilling information into actionable insights to support strategic decision-making
• Serve as a strategic liaison between the executive and key internal and external stakeholders, ensuring alignment of communication and priorities while facilitating critical interactions and advocating for direct reports when necessary
• Proactively support all aspects of meetings, ensuring seamless logistics such as scheduling, invitations, virtual and in-person setups, coordinating refreshments, etc, and preparing relevant materials and data in advance to enable the executive and participants to focus on meaningful outcomes
• Capture and summarize key discussion points, decisions, and action items during meetings, ensuring accurate and timely execution of deliverables and priorities
• Maintain the privacy and confidentiality of leadership operations, including communication of confidential information
• Coordinate internal special events and support office and campus initiatives, ensuring all spaces and experiences are reflective of our brand standards
• Manage the executive's inbox, prioritize communications, and respond on behalf of the executive when appropriate
• Organize complex calendars, oversee travel arrangements and itineraries, and own department expense reporting process, ensuring accuracy, compliance with organizational policies and adherence to fiscal deadlines

OUR REQUIREMENTS

• 5+ years of proven experience as an Executive Assistant or in a similar role supporting senior leadership, with demonstrated expertise in project management, prioritizing competing demands, and driving initiatives to completion in fast-paced, high-pressure environments.
• Strong organizational and time management skills, with the ability to prioritize multiple tasks and meet tight deadlines
• Move with urgency and precision, anticipating needs and adapting seamlessly to shifting priorities and evolving circumstances to ensure consistent and effective support.
• Excellent written and verbal communication skills, with the ability to handle sensitive information and difficult conversations with discretion
• Experience in the preparation of presentations and visual collateral
• Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word), Google Workspace (Sheets, Docs) and Apple technology
• Familiarity with travel arrangements, expense management systems (e.g., BREX, Kofax) and Human Capital Management (HCM) tools

PHYSICAL REQUIREMENTS

• Demonstrate flexibility and availability to provide support outside of regular business hours, including evenings and weekends, as needed
• Please Note | This position requires the team member to be on-site Monday through Friday at our Home Office in Corte Madera, CA; some flexibility will be available.
