Position Overview: We are seeking a highly organized and proactive Executive Assistant & Community Coordinator to support On The Table's President & CEO and to keep the office running smoothly day to day. Above all, this role exists to close loops and hold details; to track open items and follow through until they are genuinely closed. The work is varied and fast-moving: calendar and communications, coordination across the leadership team, community engagement and events, new projects and partnerships, and the steady stream of one-off details that keep an office humming. The role also works in close collaboration with the Director of Marketing & Communications.
Key Responsibilities
- Own follow-through from end to end: capture every commitment, next step, and open item across the CEO's world, and stay on them until they are genuinely closed, so nothing stalls.
- Calendar Management — efficiently manages CEO's schedule, ensuring all appointments, meetings, and events are well-organized, and prioritizing tasks accordingly.
- Meeting Coordination — coordinate and schedule internal and external meetings, including logistics, agenda preparation, and distribution of materials.
- Note Taking — attend meetings as requested and take detailed and accurate notes, capturing action items, decisions, and key discussion points.
- Communication — act as a primary point of contact between CEO and internal/external stakeholders, responding to emails and phone calls on their behalf.
- Confidentiality — maintain a high level of confidentiality and discretion when handling sensitive information and documents.
- Support Projects — assist in various projects and initiatives, including research, data analysis, and presentation preparation, and support new projects and developments from a coordination standpoint.
- Community Engagement Support — serve as liaison between the Director of Marketing & Communications and community partners, non-profits, and sponsors for both Beer Barrel Pizza & Grill and Sycamore, managing the Dine & Donate program end-to-end and tracking related financials.
- Entertainment Coordination — source, book, and coordinate entertainment talent and vendors, from contracts and scheduling through day-of logistics and serving as their main point of contact.
- General Administrative Tasks — provide administrative support as needed, such as drafting correspondence, proofreading documents, and performing other tasks to ensure the efficient operation of the office.
- Coordinate travel and itineraries as needed.
- Help keep personal and professional commitments aligned where the two intersect, anticipating and smoothing the points where they overlap, with discretion.
Qualifications
- Bachelor's degree preferred but not required.
- Prior experience in an administrative, coordinator, or executive support role, preferably supporting business owners, executives, or leadership teams.
- Experience coordinating with external partners, vendors, or talent/booking is a strong plus.
- Exceptional organizational skills and attention to detail; comfortable managing multiple priorities across leadership and cross-functional programs.
- Excellent written and verbal communication skills.
- Highly proficient in Microsoft 365 (Outlook, Teams, SharePoint, and Office) and calendar tools, and a fluent, comfortable user of Notion; this office runs on it.
- Ability to maintain confidentiality and exercise discretion.
- A proactive problem-solver who takes initiative on unfamiliar challenges, with the judgment to triage competing demands, protect what matters most, and say so when priorities need to give.
- A high degree of flexibility.
- Prior experience in restaurant, hospitality, non-profit partnerships, or event/talent booking is a plus.
- An entrepreneurial spirit; someone drawn to building and growing things who thrives in a fast-moving, evolving organization.
- An aptitude for food, design, art, and culture.

Compensation is up to $60,000 and commensurate with experience.
This is a 100% in-person, full-time, salaried position based in downtown Columbus, OH, reporting to the President & CEO and close collaboration with the Director of Marketing & Communications. Travel and weekend work may be required on as-needed basis, depending on project or event.
