Overview

We're a fast-growing SaaS company looking for a highly organized, proactive Part-Time Office Manager / Executive Assistant to keep our operations running smoothly and support our leadership team. This is a 20‑hour‑per‑week role ideal for someone who thrives in a dynamic startup environment and takes genuine pride in making everything run like clockwork.

You’ll be the operational backbone of our team — managing the CEO’s time, coordinating across departments, and owning the day‑to‑day details that allow everyone else to focus on building great software. This position is crucial to the smooth operation of our office and the well‑being of our employees. The ideal candidate will be a strong communicator, able to manage multiple priorities, and possess a solid understanding of operational excellence. This role will be expected to be on‑site 3 days a week to best support the team in‑person.

Responsibilities
Executive Support
  • Manage and optimize the CEO's calendar, scheduling meetings across time zones with precision
  • Draft and respond to emails, correspondence, and communications on behalf of leadership
  • Coordinate travel logistics: flights, hotels, ground transport, and detailed itineraries
  • Prepare decks, briefing documents, and meeting agendas for executive meetings
  • Track action items and follow‑ups from leadership meetings to ensure timely completion
  • Handle confidential information with discretion and professionalism
Office & Operations Management
  • Serve as the point of contact for office vendors, facilities, and service providers
  • Manage office supplies, equipment procurement, and general administrative needs
  • Support onboarding logistics for new hires (equipment, desk setup, day‑one coordination)
  • Organize team events, offsites, lunches, and company celebrationsOwn expense reporting for office related expenses, oversee office budget and expense tracking related to office operations.
  • Identify inefficiencies in administrative workflows and implement improvements
Qualifications
  • 2‑3 years of experience in an EA, office manager or similar role. Ideally in a startup or tech environment.
  • Bachelor's degree in Business Administration, Human Resources, or a related field preferred.
  • Expert‑level proficiency with Google Workspace (Calendar, Drive, Docs, Sheets). Comfortable with SaaS tools like Slack, Google Meet and quick to learn new platforms
  • Excellent organizational and time‑management skills with the ability to prioritize tasks effectively with a high attention to detail.
  • High level of discretion and ability to handle confidential information.
  • Polished written and verbal communication; comfortable representing the company externally
  • Ability to anticipate needs, manage competing priorities, and work independently with minimal oversight
  • Problem‑solving attitude with an eye for detail, strong critical thinking.
  • Ability to work independently and as part of a team.
  • Experience supporting a C‑suite executive, light HR/onboarding coordination, or event planning background
