Executive Assistant - Real Estate (Lincoln Park, Chicago, IL)

We are seeking a highly organized, proactive Executive Assistant to provide comprehensive support to a top-producing real estate professional. The overarching priority of this role is to make the principal’s life easier by taking tasks off their plate—allowing them to focus on sales, client management, and business growth. This is a full-time, in-office position in Lincoln Park. The ideal candidate is detail-oriented, resourceful, discreet, and thrives in a fast-paced, high-performance environment.

Responsibilities
  • Email Management
    • Monitor inbox throughout the day, escalating time-sensitive items.
    • Delete junk mail and organize messages for clarity.
    • Draft, proof, and send correspondence on behalf of the principal.
    • Compose follow-up notes and maintain professional communication standards.
  • Phone Support
    • Answer and respond to calls coming into the team’s main line.
    • Route calls appropriately and ensure messages are relayed promptly.
  • Calendar Management
    • Schedule, confirm, and adjust appointments as needed.
    • Coordinate meetings, property showings, and personal commitments.
    • Anticipate scheduling conflicts and manage priorities efficiently.
  • Contact Management
    • Maintain and update client and vendor information in Salesforce CRM.
    • Ensure data accuracy and categorize contacts for marketing and outreach.
  • Client File Preparation
    • Assemble digital and physical client folders for new and active listings.
    • Update and organize forms, disclosures, and marketing materials.
    • Use DocuSign to send, track, and organize client signatures.
  • Additional Support
    • Assist with project tracking, listing preparation, and vendor coordination.
    • Run occasional errands and support office logistics as needed.
    • Maintain confidentiality and professionalism at all times.
Qualifications
  • Bachelor's degree or equivalent experience
  • Proven experience as an executive or administrative assistant
  • Basic knowledge of residential real estate sales is helpful but not necessary.
  • This is not a sales position and does not require a real estate license.
  • Exceptional written and verbal communication skills.
  • Tech-savvy with proficiency in Microsoft Office, Google Workspace, and CRM systems (Salesforce experience a plus).
  • Highly organized, reliable, and capable of juggling multiple priorities.
  • Positive, solution-oriented, and able to anticipate needs before being asked.
