A prestigious and fast-paced organization is seeking a highly capable and experienced Executive Assistantto serve as a trusted right-hand to the Chief Executive Officer. The ideal candidate is warm, approachable, and gracious with high emotional intelligence, strong tact, and the confidence to be assertive when needed. They are hyper-organized, proactive, loyal, and possess a can-do attitude, with the leadership skills to guide others and the discretion to manage sensitive matters with professionalism. This role requires comfort and confidence interacting with high-profile stakeholders, including government officials, board members, and other C-level executives, while ensuring smooth executive workflow and long-term strategic alignment.

Responsibilities

  • Provide strategic and administrative support to the CEO across both professional and personal matters, ensuring optimized daily workflow and long-term planning.
  • Serve as an extension of the CEO by managing inbox correspondence, prioritizing messages, and responding directly to colleagues, investors, government officials, business partners, and media contacts.
  • Manage and track the CEO’s personal and professional financials, including wire transfers, capital calls and distributions, tax forecasting, and preparation of personal financial statements (PFS).
  • Collaborate with the CFO to refine and streamline budgeting, expense processing, and long-term financial forecasting.
  • Track and follow through on all CEO-led projects and deadlines, ensuring alignment across executive initiatives and personal priorities.
  • Provide cultural insight to the CEO and leadership team, acting as a barometer for morale and team dynamics within the organization.
  • Lead the planning and execution of quarterly partner and advisory board meetings, managing logistics, agendas, and follow-up items.
  • Manage and mentor a team of five administrative professionals, coordinating monthly meetings to ensure alignment and operational consistency.
  • Oversee complex personal and professional event planning, including high-volume contact lists and VIP communications for firm-wide gatherings such as holiday parties and gift distributions.

Ideal Experience

  • 7-10+ years of EA experience, with at least 3-5 years to a C-level executive, preferably a CEO.
  • Strong financial acumen with the ability to manage and forecast personal and business-related finances.
  • Outstanding written and verbal communication skills; confident interfacing with high-level external stakeholders.
  • Trusted with sensitive information, exhibits sound judgment, tact, and absolute discretion.
  • Highly organized, detail-oriented, and comfortable balancing strategic initiatives with day-to-day responsibilities.
