About The Role

We are seeking a proactive, highly organized, and detail-oriented Executive Assistant / Virtual Assistant to provide direct support to our CEO. This remote position requires someone who is adept at managing a diverse range of executive support tasks with discretion, professionalism, and efficiency. The ideal candidate will be responsible for managing executive correspondence, maintaining calendars, coordinating meetings, and handling high-level interactions. Additionally, the role involves overseeing social media and personal brand management, planning travel logistics, and assisting with personal scheduling. This position offers an excellent opportunity to work closely with company leadership, contribute to strategic initiatives, and grow within a dynamic organization that values innovation and teamwork.

Qualifications

  • Valid USA visa and ability to travel within the USA, Latin America, and Europe
  • Exceptional verbal and written communication skills in English at C1 level or higher
  • Bilingual in Spanish required; Portuguese optional
  • Minimum of 3 years experience as an executive assistant, virtual assistant, or in a similar administrative role
  • Experience managing executive calendars, email communication, and social media profiles
  • Highly organized, proactive, and capable of independently managing multiple priorities
  • Strong technological proficiency, including familiarity with virtual collaboration tools and social media platforms
  • Reliable internet connection and a dedicated, distraction-free workspace

Responsibilities

  • Manage executive correspondence, prioritize communications, and maintain the CEO's calendar to ensure timely and efficient scheduling
  • Coordinate meetings, prepare agendas, and handle follow-up actions to facilitate smooth executive operations
  • Perform general administrative duties including light bookkeeping, data entry, document management, and expense tracking
  • Oversee and enhance the company's social media presence by curating content, managing profiles, and developing strategies to strengthen online visibility
  • Assist in developing and maintaining a consistent personal brand for the CEO across various online platforms
  • Plan, coordinate, and manage travel logistics such as flights, accommodations, and transportation arrangements
  • Support with scheduling personal appointments and managing related logistics remotely
  • Participate in virtual meetings, provide timely updates, and communicate effectively with internal teams and external stakeholders
