Job Description:

We are looking for an energetic and highly organized Executive Assistant to support a busy, fast-moving company President. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and is eager to make a meaningful impact on daily operations. The ideal candidate will be proactive, confident, and able to work independently without needing constant direction.

Key Responsibilities:

  • Manage and organize the executive’s inbox, calendar, and meeting schedule to ensure smooth daily operations.
  • Coordinate complex travel arrangements and anticipate schedule adjustments as needed.
  • Track ongoing initiatives and maintain project management updates using tools like Zoho CRM.
  • Review meeting notes and ensure clear follow-ups and task completion.
  • Act as the primary liaison between the executive and internal teams.
  • Provide general administrative and office support, including maintaining supplies and handling incoming deliveries and mail.
  • Keep the workspace organized, clean, and prepared for daily activities.
  • Handle confidential information with the highest degree of professionalism and discretion.

Qualifications:

  • 2–3 years of Executive Assistant or high-level administrative experience, preferably in a fast-paced, entrepreneurial environment.
  • Proven experience managing calendars, scheduling, and travel logistics.
  • Proficiency with Google Workspace (Gmail, Calendar, Drive, etc.).
  • Excellent communication skills and confidence to interact with executives and team members alike.
  • A proactive mindset with the ability to anticipate needs and act without being told what to do.
  • Strong organizational skills and attention to detail.
  • Comfortable working 100% onsite, Monday through Friday.
  • Schedule: Full-time, 9:00 AM – 5:00 PM
  • Work Arrangement: 100% Onsite in Chicago, IL (Lincoln Park area)
  • Dress Code: Business casual
