Job Description
The Executive Assistant, based in Cary, NC, is responsible for providing exceptional administrative support to select Executives, including the EVP, Chief Financial Officer, SVP, Corporate Controller and Chief Marketing Officer, while exercising a high degree of discretion and confidentiality. The successful candidate will work closely and collaboratively in a fast-paced environment and will serve as the primary point of contact for internal and external constituents on matters pertaining to the respective Executive leaders, including calendar management, travel planning, in-person and virtual meeting preparation, and business reporting.
KEY RESPONSIBILITIES
- Support executives by representing the office with exceptional customer service, interpersonal savvy and efficiency, and attention to detail.
- Role responsibilities include managing multiple complex calendars, planning, and coordinating domestic travel.
- Communicate on behalf of EVP, Chief Financial Officer, SVP, Corporate Controller and Chief Marketing Officer with both internal and external constituents. This includes both written and verbal communications.
- Drafts letters, memos, documents, and various reports requiring knowledge of methods, procedures, policies, and the nature of business and the organization.
- Handle incoming and outgoing phone and electronic communications while exercising and maintaining the highest level of confidentiality.
- Coordinate internal and external meetings and compile all necessary presentation materials and agendas for all attendees.
- Serve as key data entry and compilation minute-taker for multiple meetings, consolidating information as needed into reports and presentations; provide follow-up materials.
- Manage, reconcile, and submit expense reports for the respective Executives, process bills, order supplies, and general office support.
- Work closely and collaborate with the Executive Assistants for other leaders and other colleagues in support of special assignments.
- Develop detailed onboarding plans leveraging templates, continuously improve onboarding process and related documentation with input from HR and senior operations leadership.
- Other duties, as assigned.

Qualifications
KEY EXPERIENCES
- Bachelor’s Degree preferred; experience in lieu of education will be considered
- Minimum 8+ years in a corporate environment supporting executives at the top executive level
- Proficiency in project coordination/scheduling
- Proficiency in data collection and reporting
- Advanced proficiency in Windows, Word, Excel, TEAMS, and PowerPoint
- Strong written and oral communication skills
- Professional demeanor and ability to always maintain confidentiality
- Ability to proactively anticipate needs of and opportunities for EVP, Chief Financial Officer, SVP, Corporate Controller and Chief Marketing Officer
- Ability to build and maintain business relationships and be calm and flexible under pressure and amidst changing priorities
- Experience building a positive team environment and establish working relationships inside and outside of the group
