Job summary

NFI Industries in New Jersey is seeking an Executive Assistant to provide high-level administrative support to executives and their team. You will manage calendars, prepare reports and coordinate cross‑department communications to ensure efficient operations.

Ideal candidates have 10+ years of executive support experience, superb discretion, and excellent written and verbal communication. The role offers a base salary range of $73,769 to $98,359 plus a discretionary bonus and comprehensive

Qualifications

  • Bachelor’s degree preferred.
  • High School Diploma required.
  • 10+ years experience supporting executive management, preferably in a C Suite environment.
  • Demonstrated ability to handle confidential information appropriately.
  • Attention to detail in composing, typing, proofing materials, establishing priorities, flagging items for attention and meeting deadlines.
  • Excellent verbal and written communication skills
  • Excellent internal and external customer service skills
  • Excellent Microsoft Office application experience
  • Professional appearance and demeanor
  • Strong customer service skills
  • Ability and availability to work extended hours including nights, weekends as needed by the Executive.

Responsibilities

  • Manages and maintains executives’ schedules and supports senior leadership meetings.
  • Prepares invoices, reports, letters, and budgets using MS Office & Google Suite.
  • Lead the management of the team’s data and centralized data management.
  • Facilitates cross‑department communications for streamlined collaboration.
  • Performs general office duties including PTO, expense management, HRIS, and PO management.
  • Prepares responses to email inquiries and drafts routine correspondence.
  • Files and retrieves corporate documents and reports.
  • Prepares meeting agendas and arrangements for executive meetings.
  • Serves as secretary in meetings and records minutes.
  • Assists in setting up and overseeing administrative policies and procedures.
  • Performs duties as requested by the Executive team.

Overview

The Executive Assistant provides high-level administrative support for executives and their team to manage a department or business unit. This position may also train and support other clerical staff. This position reports to executive level officers in the organization.

Responsibilities
  • Manages and maintains executives’ schedules and as well as supports the department or business unit meeting senior leadership schedule.
  • Prepares invoices, reports, letters, financial statements, budget and other documents using MS Office & Google Suite technologies.
  • Lead the management of the team’s data and supports the use of centralized data management for a team.
  • Navigate other departments and business units to facilitate a streamlined communications process across teams.
  • Performs general office duties such as ordering supplies, using various support systems, including PTO management, expense management, HRIS management, and PO management.
  • Prepares responses to email correspondence containing routine inquiries.
  • Files and retrieves corporate documents, records and reports.
  • Prepares agendas and makes arrangements for executive meetings.
  • Serves as secretary in meetings and records minutes.
  • Assists in the setup and oversight of administrative policies and procedures for offices and/or organizations.
  • Performs duties as requested by the Executive team.

We are excited to share that the base salary range for this position is $73,769.28 - 98,359.04 USD Annual. This position is also eligible for an annual discretionary bonus, targeted at 3%. NFI takes into consideration applicants' qualifications, experience, education, and geographic location when determining a starting rate of pay.
