About the Role
This is the central coordination role in the Principal's life. You will own the calendar, travel, correspondence, and logistics behind a complex schedule, and you will catch problems before they reach her. You will report directly to the Principal. You will protect her time and privacy, and you will represent her with polish to everyone from nonprofit leaders to luxury vendors. Success means a principal who is always prepared, commitments that close without reminders, and travel and events that run smoothly. The schedule is Monday through Friday. Occasional evenings, weekends, and travel are part of the role, with advance notice whenever possible.
Key Responsibilities
- Own a complex, frequently changing calendar that spans personal, family, business, philanthropic, media, and travel commitments. Anticipate conflicts, preparation needs, and travel time.
- Act as gatekeeper for incoming requests: decide what reaches the Principal and respond to the rest graciously.
- Draft and edit correspondence, invitations, and acknowledgments in the Principal's voice.
- Deliver concise daily and weekly briefings on appointments, priorities, deadlines, and open decisions.
- Plan domestic and international travel end to end: flights, accommodations, ground transportation, detailed itineraries with contingency plans, and real‑time troubleshooting.
- Manage invitations, RSVPs, gifting, attire, and event‑day logistics for charitable, social, and family occasions, working with planners, venues, and vendors.
- Coordinate logistics for interviews, appearances, and photo shoots with publicists, producers, and glam teams.
- Coordinate family schedules, school commitments, personal appointments, wardrobe fittings, and special occasions with complete discretion.
- Work with household staff and outside vendors on service appointments, deliveries, and maintenance, and track every item to completion.
- Keep organized records of contacts, charitable commitments, invoices, receipts, and expenses. Keep personal, philanthropic, media, and business matters clearly separate.
Qualifications
- 5+ years supporting a high‑profile principal, such as a public figure, entrepreneur, C‑suite executive, family office, entertainment professional, or high‑net‑worth household.
- Direct ownership of a complex, fast‑changing calendar, plus domestic and international travel and event logistics.
- A proven record of handling confidential personal, family, and reputationally sensitive matters with discretion.
- Strong writing skills, including drafting correspondence in a principal's voice.
- The judgment to decide what needs immediate attention, what can be delegated, and what stays private. The confidence to raise problems early, with a solution in hand.
- Ease working with physicians, attorneys, publicists, nonprofit leaders, and luxury vendors.
- Able to work primarily in person in Los Angeles and available for occasional evenings, weekends, holidays, and travel. A valid driver's license, reliable transportation, and a valid passport (or the ability to get one quickly) are required.
- Willingness to sign a comprehensive confidentiality agreement and complete background and reference checks.
- Experience coordinating media appearances, publicity, or on‑camera work is a plus.
- Experience supporting philanthropic, board, or nonprofit commitments is a plus.
- $75,000 to $100,000 base salary, commensurate with experience.
