IsraFest Foundation, Inc. is seeking an experienced Executive Assistant/Office Manager to support the Festival Director in Tel Aviv.

This year-round, full-time role covers administrative duties, event production, fundraising, and day-to-day office operations to ensure the Israel Film Festival runs smoothly. The ideal candidate brings at least five years’ experience in administration or arts events, superb writing and communication skills, and the ability to work independently across time zones

Qualifications

Responsibilities

  • Provide executive support to the Festival Director, including calendars and email management.
  • Coordinate festival events from Opening Night to sponsor luncheons.
  • Support fundraising and sponsorship outreach and maintain sponsor communications.
  • Draft and edit marketing materials for print, digital, and social channels.
  • Oversee festival program materials and logistics for screenings.
  • Assist with general office duties and administrative follow-up actions.
  • Manage social media updates and digital presence for the festival.
  • Maintain a positive, energetic office atmosphere and morale.

Job Description
Executive Assistant to Film Festival Director in Tel Aviv

The 38^th^ ISRAEL FILM FESTIVAL in Los Angeles is seeking a highly motivated, experienced, enthusiastic, and self-driven full time, year-round Executive Assistant/Office Manager in our office in Tel Aviv, Ramat Hachayal. This unique role will allow you to engage with every aspect of our festival operations, from administrative duties to event production and fundraising efforts.

The Israel Film Festival is the largest showcase of Israeli films in the United States, annually bringing close to 30 new Israeli feature films, thought provoking documentaries, student shorts & TV series to a wide audience in Los Angeles. It is presented by IsraFest Foundation, Inc., a non-profit organization.

Key Responsibilities
  • Executive Support: Provide administrative assistance to the Executive Director, including managing calendars, scheduling meetings, and handling email correspondence
  • Event Coordination: Play a critical role in the planning, production, and execution of key festival events, such as the Opening Night, Sponsor Luncheon, and other special events
  • Fundraising & Sponsorship: Assist with reaching out to potential sponsors, writing sponsorship proposals, and maintaining communication with current sponsors and updating sponsor database
  • Marketing & Communications: Write, proofread, and edit marketing and advertising materials, ensuring high-quality content for print, digital, and social media platforms
  • Program Coordination: Oversee the production of promotional materials such as the festival program ad book, flyers, invitations, and event materials
  • Festival Logistics: Coordinate travel and accommodation for filmmakers, ensure the timely arrival of films, and assist with logistics related to festival screenings
  • Administrative Support: Handle general administrative duties, including filing, correspondence, and scheduling follow-up actions
  • Social Media & Digital Presence: Help update the festival’s website, manage social media platforms, and ensure digital engagement with festival-goers and industry professionals
  • Spreading Positivity: Bring energy, enthusiasm, and a positive attitude to the workplace, creating a fun and uplifting environment for colleagues, sponsors, and festival-goers alike. Your ability to stay upbeat, even under pressure, will be key to maintaining team morale.
Skills and Qualifications
  • 5 years of experience in administrative assistance, event management, and/or fundraising, particularly within cultural organizations or the arts
  • 5 years of experience in large-scale event planning
  • Strong interest in cinema, the arts, and cultural events
  • Native-level fluency in English; Hebrew conversational
  • Excellent writing, proofreading, and communication skills
  • Experience with grant-writing, sponsorship proposals, and fundraising activities
  • Ability to engage confidently with sponsors, filmmakers, and high-profile stakeholders
  • Strong organizational skills, attention to detail, and ability to prioritize tasks in a fast-paced environment
  • Self-motivated, creative, and able to work independently with enthusiasm and energy
  • Experience working with zoom, online screening platforms, and social media tools
  • Familiarity with the Jewish and Hollywood communities is a plus
  • Ability to manage multiple tasks simultaneously and work well under pressure to meet deadlines
Additional Information

Working Hours: As we work closely with our office in Los Angeles, some of your tasks may require evening hours or flexible scheduling to accommodate the time difference
