About the Role
We are hiring an Executive Assistant to serve as the right hand to the Owner/President while providing administrative support to the leadership team. This is a broad, high-trust position for someone who is highly organized, proactive, and comfortable taking ownership without requiring constant direction. The Executive Assistant will help protect the Owner’s time, manage priorities, coordinate communication, and ensure commitments and follow-ups do not fall through the cracks. The ideal candidate is someone who anticipates what needs to happen before being asked and enjoys creating structure in a fast-moving entrepreneurial environment.
Responsibilities
- Manage the Owner/President’s calendar, inbox, scheduling, priorities, and executive communications while proactively resolving conflicts and ensuring follow-up.
- Coordinate meetings, site visits, vendors, subcontractors, clients, and leadership schedules while serving as a professional point of contact.
- Prepare agendas, meeting notes, correspondence, presentations, and other business documents; track action items, deadlines, approvals, and outstanding commitments.
- Maintain organized digital files, project/client documentation, and administrative systems while continuously improving processes and organization.
- Coordinate business travel, events, and limited personal/household logistics for the Owner with discretion and strong attention to detail.
Qualifications
- 3–5 years of experience in executive, administrative, or high-level support.
- Strong organizational skills, attention to detail, and proven ability to manage multiple priorities and follow through independently.
- Excellent written and verbal communication skills, with discretion when handling confidential business and personal matters.
- Proficiency with Google Workspace, including Gmail, Calendar, Drive, Docs, and Sheets.
- Able to work full-time in-office in the Belle Isle/Orlando area, with reliable transportation.
Preferred Skills
- Experience supporting an entrepreneur, founder, or C-level executive
- Background in construction, real estate, or another project-driven professional services environment
- Experience managing both business and personal executive support
- Familiarity with project management tools such as ClickUp, Asana, Monday.com, or similar platforms
- Experience with CRM, document management, or electronic signature platforms
- Notary Public commission or willingness to obtain one
