Indiana University Health in Indianapolis is seeking an Executive Administrative Coordinator for the Metro Region President and Chief of Staff. This full-time, on-site role supports senior leaders, manages complex priorities, coordinates executive operations, and prepares meeting and board materials.

The ideal candidate is organized, proactive, and thrives in a fast-paced healthcare environment, communicating effectively with leaders at all levels and driving key regional initiatives.

Formación

  • Bachelor's degree or equivalent years of experience.
  • 5-7+ years of relevant experience.
  • Experience with matrix organization and complex work environment preferred.
  • Experience with Board of Director document preparation / materials management for top level executives.
  • Strong proficiency in MS Office (Word, PowerPoint, Excel).
  • Progressive experience in receiving, analyzing, and interpreting complex data and information.

Responsabilidades

  • Provides executive support to the Metro Region President and Chief of Staff.
  • Manages schedules/calendars, coordinates meetings and events, and travel arrangements.
  • Prepares detailed board materials and manages invoices, expense approvals, etc.
  • Handles inquiries and other requests with minimal guidance.
  • Contributes to driving key regional initiatives and strategic projects.

This is a full time Executive Administrative Coordinator position, Monday Friday, 8:00am – 5:00pm, onsite at Methodist Hospital in Indianapolis, IN. Join the IU Health team in a highly visible role supporting the Metro Region President and Chief of Staff. This position serves as a trusted partner to senior leaders, managing complex priorities, coordinating executive operations, preparing meeting and board materials, and helping drive key initiatives across the Metro Region. The ideal candidate is an organized, proactive professional who thrives in a fast-paced environment, anticipates needs, communicates effectively with leaders at all levels, and enjoys being at the center of strategic healthcare operations.

Minimum Candidate Qualifications
  • Bachelor's degree or equivalent years of experience required
  • Requires 5-7+ years of relevant experience.
  • Experience with matrix organization and complex work environment preferred.
  • Requires experience with Board of Director document preparation / materials management for top level executives.
  • Requires strong proficiency in MS office (Word, PowerPoint, Excel).
  • Requires progressive experience in receiving, analyzing, and interpreting complex data and information.
Core Competencies
  • Provides comprehensive administrative and technical support to executive leadership (EVP/SVP/President).
  • Manages schedules/calendars, coordinates meetings and events, prepares detailed travel arrangements, manages and processes invoices, expense approvals, etc. and handles inquires and other requests, as directed.
  • Manages work with minimal guidance and direction.
  • Anticipates and proactively addresses administrative and technical issues and challenges as they arise.
  • Assures accuracy and availability of office records, files, resource data, various reports, basic budget oversight, significant board documentation preparation/materials management, etc.
  • Exercises strong independent judgement, anticipates potential issues and challenges, and recognizes the specific needs of their leader(s).
