Job Summary

The Executive Administrative Assistant will support our mission through strong communication, organizational, and time management skills. This role is vital to our administrative team, supporting the Executive Director and leadership team.
Essential Job Duties
- Perform general administrative duties as assigned by the Executive Director.
- Manage calendars, schedule appointments, and coordinate meetings.
- Handle incoming calls, messages, and mail professionally and promptly.
- Assist with accounts receivable communications and collections.
- Organize and maintain office systems, including filing and general office maintenance.
- Provide relationship management support to cultivate key relationships with families, donors, and other stakeholders.
- Prepare and distribute thank-you letters, tax receipts, and manage donor information in the database.
- Manage a comprehensive grant calendar to ensure deadlines are met.
- Support organization-wide strategic goals.
Volunteer Engagement
- Establish and maintain relationships with community organizations, schools, volunteer groups, and businesses.
- Identify volunteer opportunities and collaborate across departments to meet organizational needs.
- Recruit and onboard volunteers, including interviewing and facilitating orientation.
- Maintain volunteer materials, policies, procedures, and handbooks.
- Foster an inclusive, respectful, and collaborative culture among volunteers and staff.
- Develop and implement volunteer retention strategies.
- Support community outreach and build partnerships.
- Manage volunteer records and communication.
Event Management
- Coordinate organizational events to meet goals such as revenue, donor activation, and engagement.
- Handle logistics including venues, vendors, staffing, and fundraising.
- Secure talent for events and assist with budgeting and funding.
- Collaborate with marketing on promotion and communication.
- Manage day-of logistics and evaluate event success for improvements.
Working Conditions
- Primarily based at our Minnetonka office with some remote work allowed.
- 40 hours/week, mostly Monday-Friday, with some weekend events.
- Routine use of office equipment; light physical activity required.

Minimum Qualifications
- Passion for our mission and values.
- High School diploma or GED; Bachelor’s preferred.
- Experience in volunteer coordination, events, marketing, or community engagement preferred.
- Strong communication and relationship-building skills.
- Highly organized, detail-oriented, and friendly.
- Ability to pass a background check.
- Proficiency in Microsoft Office Suite.
- Ability to work independently and as part of a team.
- Willingness to support events during evenings and weekends.
