Qualifications

  • Advanced Microsoft Office skills, particularly PowerPoint, Outlook, Excel, Word, and Teams including AI tools to aid efficiency.
  • Exceptional PowerPoint presentation development for executive-level materials.
  • Strong written and verbal communication skills.
  • Excellent organizational, planning, and project coordination abilities.

Responsibilities

  • Provide administrative support to the President and Executive Leadership Team.
  • Manage complex calendars, meeting schedules, and executive priorities.
  • Coordinate domestic and international travel arrangements and logistics.
  • Prepare and process expense reports and administrative documentation.
  • Coordinate leadership meetings, executive offsites, customer visits, and special events.
  • Manage meeting agendas, materials, action items, and follow-up activities.
  • Draft, edit, and coordinate company-wide communications on behalf of executive leadership.
  • Prepare executive correspondence, announcements, presentations, talking points, and organizational updates.
  • Support leadership communications related to business performance, organizational changes, employee engagement, and strategic initiatives.
  • Translate complex business information into clear, concise, and visually compelling presentations.

The Executive Administrative Assistant serves as a highly trusted partner to the President and Executive Leadership Team, providing a blend of executive support, communications, presentation development, and operational assistance. This role requires a resourceful and versatile professional who can effectively balance traditional administrative responsibilities with higher-level strategic support.

The successful candidate will be equally comfortable managing calendars and travel arrangements, developing executive-level PowerPoint presentations, coordinating organizational communications, leading special projects, and supporting key business initiatives. This position requires exceptional organizational skills, outstanding communication abilities, and advanced PowerPoint expertise.

  • Provide administrative support to the President and Executive Leadership Team.
  • Manage complex calendars, meeting schedules, and executive priorities.
  • Coordinate domestic and international travel arrangements and logistics.
  • Prepare and process expense reports and administrative documentation.
  • Coordinate leadership meetings, executive offsites, customer visits, and special events.
  • Manage meeting agendas, materials, action items, and follow-up activities.
Executive Communications
  • Draft, edit, and coordinate company-wide communications on behalf of executive leadership.
  • Prepare executive correspondence, announcements, presentations, talking points, and organizational updates.
  • Support leadership communications related to business performance, organizational changes, employee engagement, and strategic initiatives.
  • Ensure communications are professional, accurate, and consistent with company messaging.
Presentation Development
  • Create executive-level PowerPoint presentations for leadership reviews, board meetings, customer presentations, strategic planning sessions, town halls, and corporate events.
  • Translate complex business information into clear, concise, and visually compelling presentations.
  • Partner with leaders across the organization to gather, organize, and synthesize content.
  • Maintain presentation standards and ensure materials are polished and executive-ready.
  • Support meeting preparation by developing briefing materials, summaries, and presentation content.
Project Coordination
  • Coordinate and support special projects on behalf of the President and Executive Leadership Team.
  • Track project milestones, timelines, deliverables, and follow-up actions.
  • Facilitate cross-functional collaboration to ensure projects remain on schedule.
  • Assist with research, data gathering, and preparation of materials to support decision-making.
Event & Administrative Coordination
  • Coordinate executive meetings, leadership events, employee engagement activities, and offsite meetings.
  • Manage catering, meeting logistics, conference arrangements, and vendor coordination.
  • Support planning and execution of company events, leadership workshops, and special programs.
  • Maintain organizational records, files, and documentation.
Qualifications
Required
  • Bachelor's degree or equivalent experience.
  • 7+ years of experience supporting senior executives, executive leadership teams, or C-suite leaders.
  • Advanced Microsoft Office skills, particularly PowerPoint, Outlook, Excel, Word, and Teams including utilization of AI to aid in efficiency.
  • Exceptional PowerPoint presentation development skills with demonstrated experience creating executive-level presentations.
  • Strong written and verbal communication skills.
  • Excellent organizational, planning, and project coordination abilities.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • High level of professionalism, discretion, and confidentiality.
