Base pay range

$25.00/hr - $30.00/hr

Company Description

MBM Hospitality is the parent company for Made by Meg Catering, Walker’s Catering, Tipsy Pear Sips + Spirits bar catering, and La Venta Inn. We specialize in elevated catering services for weddings, corporate events, birthdays, showers, and more. Our full-service catering is available at La Venta Inn and at various off-premises venues in Los Angeles and Orange Counties.

Role Description

This is a full-time on-site role for an Executive Administrative Assistant, located in Torrance, CA. The Executive Administrative Assistant will manage the daily administrative operations, including scheduling meetings, managing communications, and coordinating events. This role also involves handling confidential information, preparing and editing documents, and liaising with clients and vendors. The assistant will support the President with her tasks and ensure the smooth running of office activities.

You will serve as a trusted partner, helping to streamline operations, manage key communications, and ensure the President’s time is used as efficiently as possible. The ideal candidate will be calm under pressure, exceptionally organized, and adept at handling complex logistics and sensitive information with professionalism and confidentiality.

Qualifications

  • Strong organizational, time management, and multitasking skills
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
  • Proficiency in Google Suite: Docs, Sheets, Drive, etc
  • Excellent written and verbal communication skills
  • Experience in handling confidential information and maintaining discretion
  • Ability to work independently and as part of a team
  • Previous experience in an administrative or executive assistant role is preferred
  • Bachelor's degree in Business Administration, Communications, or related field is a plus
  • Familiarity with event planning and coordination
  • High level of discretion and professionalism

Key Responsibilities:

  • Manage daily calendars, schedules, and meeting logistics for the President
  • Coordinate meetings, itineraries, and expense reports
  • Draft, edit, and manage communications and documents
  • Serve as a liaison with internal team members and external stakeholders
  • Support strategic projects and assist with research and preparation as needed
  • Track tasks, deadlines, and follow-ups to keep initiatives on schedule
  • Maintain confidentiality and discretion in handling sensitive business matters
