Job summary

Pueblo Bank & Trust is seeking an organized and proactive Administrative Assistant to support the executive management team and multiple departments. This role often extends beyond the standard 40-hour week and requires strong communication and independent judgment.

Responsibilities include preparing board documentation, minutes, calendars, data entry, and handling inquiries with discretion. A background in banking and accounting, plus an Associate degree or higher, is preferred.

Qualifications

  • Associate degree or equivalent required.
  • Bachelor’s degree with Business major preferred.
  • 2 years of administrative experience, preferably in a multi-departmental support role.
  • 2 years of Banking Experience.
  • 2 years of standard accounting practices and procedures.

Responsibilities

  • Provide customer service per the Signature Banking culture.
  • Assist with organization and presentation of all documentation for the Board, committees, exams and audits.
  • Assist with memo and minute drafting.
  • Assist with bank-wide calendaring of events.
  • Perform data entry, scanning and filing both paper and electronic documents.
  • Answer and direct incoming calls, greet visitors, and handle general inquiries.
  • Provide support to all departments as directed or where assistance is needed.
  • Assist with special projects.
  • Maintain confidentiality of sensitive information.
  • Be forthcoming, proactive and transparent with communication across departments.
  • Coordinate absences with broader impact on workflows.
  • Perform other duties as assigned.

General Purpose

This position is a dynamic and adaptable role responsible for providing support to the executive management team, clerical and secretarial support across multiple departments. This fast-paced role sometimes requires working beyond the standard 40-hour week, flexibility is key. Some duties are complex, require independent judgement and strong communication skills are a must.

  • Provide customer service per the “Signature Banking” culture.
  • Assist with the organization and presentation of all documentation paper and electronic, for the Board of Directors, their committees, internal bank committees, exams and audits.
  • Assist with memo and minute drafting.
  • Assist with bank wide calendaring of events.
  • Perform data entry, scanning and filing both paper and electronic documents.
  • Answer and direct incoming calls, greet visitors, and handle general inquiries.
  • Provides support to all departments as directed or where assistance is needed.
  • Assist with special projects.
  • Always maintain confidentiality of sensitive information.
  • Be forthcoming, proactive and transparent with communication across multiple departments.
  • Interaction regularly with multiple supervisors.
  • Coordination with absences must reflect an understanding of the broader impact on departmental workflows and coverage.
  • Perform other duties and responsibilities as requested or assigned .

  • Knowledge of standard accounting or banking concepts, practices and procedures.
  • Intermediate to advanced knowledge of Microsoft Office Suite (Word, Excel, Outlook, Adobe)
  • Proficient in electronic report writing and documentation.

Education
  • Associate degree or equivalent required. Bachelor’s degree with Business major preferred .
Experience
  • 2 years of administrative experience, preferably in a multi-departmental support role.
  • 2 years of Banking Experience.
  • 2 years of standard accounting practices and procedures.
Equipment
  • Computer, 10-key, telephone, copier and various small office equipment.
