Position Overview

The Executive Administrative Assistant is responsible for providing high level administrative support to members of the Executive Management Team. Responsibilities include managing internal and external customer calls, preparing correspondence, supporting meetings, assisting with calendar management, and creating and maintaining files. In addition, this individual will coordinate work with other departments, respond to various inquiries for information, and report pertinent information to department management.

Essential Duties and Responsibilities

  • Assists with calendar management, including scheduling and confirming meetings and appointments.
  • Proactively alerts Executive Management of appointment times, schedule changes, and potential schedule conflicts.
  • Helps plan travel schedule; calculates and plans for necessary travel time between appointments.
  • Makes reservations for meetings; prepares meeting room and meeting event details as needed.
  • Maintains records and files, often of a confidential nature.
  • Coordinates and manages schedule; manages requests for appointments; prioritizes based on situation.
  • Prepares and distributes meeting minutes.
  • Makes travel and hotel arrangements as directed.
  • Contacts individuals, employees, or external contacts at other companies to give or obtain information, as directed and within policy.
  • Responds to inquiries relating to his/her particular area, or to requests from customers, other personnel, etc., within given time frames and within established policy.
  • Types letters, correspondence, reports, memos, and other relevant papers; utilizes word processing to prepare documents as appropriate; transcribes minutes from various meetings, as assigned.
  • Coordinates specific work tasks with other personnel within the department as well as with other departments in order to ensure the smooth and efficient flow of information.
  • Secures sensitive information and documents.
  • Maintains confidentiality when handling sensitive or confidential information.
  • Performs tasks, which are supportive in nature to the essential functions of the job, but which may be altered or re-designed depending upon individual circumstances.
  • Regular and predictable attendance is required.

Education & Qualifications

  • A minimum of five (5) years’ experience in a related administrative support positions normally required/additional education can be considered in place of experience.
  • A high school diploma or equivalent with an emphasis in business curriculum.
  • Proficient with Microsoft Office products, including virtual meeting platforms, and other specific department/office software and equipment.

Skill(s)

Proficient reading, writing, grammar, and mathematics skills; proficient interpersonal relations and communicative skills; proficient typing skills; moderate composition skills; ability to operate word processing equipment and/or sufficient knowledge to use word processing software; knowledge of various office machines; a working knowledge of financial services products, along with the operational policies and procedures that impact these products; ability to sit, stand, walk, bend, stoop, reach with hands or arms, use hands to manipulate objects, handle or feel, and lift items weighing 20 lbs. or less; visual, auditory and speaking skills; valid driver’s license is required.

Specific compensation offered will be determined based on a combination of factors including the candidate’s knowledge, skills, depth of work experience, and relevant licenses/credentials. The salary range may vary based on geographic location.
