Job summary

Wallick Communities in New Albany, OH is seeking an Executive Administrative Assistant to support our executive team. This full-time role demands strong organization, discretion and professional communication to manage schedules, travel and correspondence.

You'll coordinate meetings, prepare agendas and minutes, screen inquiries, handle reports and provide general administrative support. Wallick is 100% employee-owned and offers a comprehensive benefits package and growth opportunities.

Qualifications

  • Associate degree or equivalent experience.
  • Previous executive assistant experience, preferably with C-Suite.
  • Excellent communication and interpersonal skills.
  • Proficiency in Word, Excel, PowerPoint, Outlook.
  • High discretion and confidentiality.
  • Flexibility to adapt to changing priorities.

Responsibilities

  • Manage and maintain executive schedules, meetings, and travel.
  • Coordinate and organize meetings, prepare agendas and minutes.
  • Prepare and edit correspondence, presentations and reports.
  • Screen communications and prioritize emails, calls and mail.
  • Address resident and vendor issues with discretion and professionalism.
  • Liaise between the executive team and internal/external partners.
  • Provide general administrative support (filing, photocopying, mail).

What You'll Do:
  • Manage and maintain executive schedules, including scheduling meetings, appointments and travel arrangements.
  • Coordinate and organize meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.
  • Prepare and edit correspondence, presentations, and reports.
  • Screen and prioritize incoming communications, including emails, phone calls and mail, and respond appropriately.
  • Addresses resident and vendor complaints with discretion and professionalism.
  • Act as a liaison between the executive team and internal departments, external partners, and clients.
  • Provide general administrative support, including filing, photocopying, and managing office mail distribution.
What We're Looking For:
  • Associate degree or equivalent experience.
  • Proven experience as an executive assistant or similar role, preferably supporting C-Suite executives.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • High level of discretion and confidentiality.
  • Flexibility and adaptability to changing priorities and deadlines.
