TITLE
Executive Administrative Assistant
CLASSIFICATION
Full-Time (40 hour), Salaried (exempt)
REPORTS TO
Board President
SUMMARY
Uplift North seeks an experienced self-starter and highly organized professional to provide administrative support for a volunteer-led membership 501(c)(3) organization. Reporting directly to the Board President, and providing support to all board members, the Executive Administrative Assistant will serve as a key organizational resource, ensuring continuity, consistency and effective communication among members, volunteer leaders and committees.
PRIMARY RESPONSIBILITIES
ADMINISTRATIVE
- Support the President and Board leadership by preparing meeting materials, agendas, motions, presentations, and supporting documentation.
- Gather, analyze, and provide relevant organizational data to support leadership decision-making.
- Attend meetings, prepare reports, maintain records, and complete follow-up actions as requested.
- Handle sensitive and confidential information requiring good judgment and discretion.
- Establish and maintain the organization reporting requirements, performance reports and agreements for all program partners and vendors.
- Provide additional support where needed, and or assigned, for the success of the organization’s programs and special events.
- Lead and support special projects or strategic initiatives as assigned.
OPERATIONS
- Maintain and oversee organizational records, agreements, contracts and documentation related to program partners, vendors and service providers.
- Support annual training and educational programs for board members and committee chairs.
- Monitor and document organizational processes and operational purchasing activities.
- Coordinate and maintain the organization’s membership directory and organizational chart.
- Assist with other operational tasks as assigned.
TECHNOLOGY
- Maintain organizational knowledge (e.g. historical documentation) to support leadership continuity.
- Maintain organizational assets and property records, including technology equipment and office resources.
COMPLIANCE AND EXTERNAL RELATIONS
- Assist with maintaining organizational profiles and reporting requirements for external organizations, including Candid (GuideStar®) and the Charities Review Council.
- Ensure required organizational information remains accurate and up to date.
- Coordinate documentation and communications with external partners, vendors and stakeholders.

QUALIFICATIONS
- Minimum five years of office administration experience,
- preferably in a nonprofit environment.
- Bachelor’s Degree in a related field desired, or a combination of education and experience.
- Demonstrate ability to work independently, manage multiple priorities and drive projects to completion.
- Strong written, verbal and interpersonal communication skills.
- Strong organizational and project management capabilities.
- Ability to collaborate effectively with board members, volunteer leaders, and external vendors.
- Ability to anticipate project needs, discern work priorities, and meet deadlines with little supervision.
- Technically savvy and proficient in the use of Microsoft Office suite including Outlook, Teams, Word, Excel, PowerPoint, OneDrive, Zoom
WORK ENVIRONMENT
This position is a hybrid position; required to work in-office as directed by the President. Regular attendance at meetings and events is expected as needed.
