About the Role:

UPS Industrial Services is seeking a skilled Executive Administrative Assistant to join our team! The Executive Administrative Assistant provides high-level administrative support to senior executives in a fast-paced industrial environment. This role ensures the smooth operation of executive functions by managing schedules, communications, travel, and confidential information with a high level of discretion, professionalism, and efficiency.

Key Responsibilities:

  • Manage and maintain complex executive calendars, including meetings, travel, and deadlines.
  • Create, prepare, edit, and proofread reports, correspondence, presentations, and other documents.
  • Act as a liaison between executives and internal departments, clients, vendors, and other stakeholders.
  • Organize and coordinate logistics for meetings, conferences, and events (onsite and offsite).
  • Arrange domestic and international travel accommodations, including itineraries and expense reports.
  • Maintain confidentiality and handle sensitive information with integrity and discretion.
  • Track and follow up on projects, tasks, and key action items to ensure timely completion.
  • Support internal operations by maintaining files, databases, and office systems.
  • Assist in preparing executive reports and data summaries for decision-making.
  • Handle incoming calls, emails, and correspondence on behalf of executives as needed.

Qualifications:

  • Education: Associate or bachelor’s degree in business administration or related field preferred.
  • Experience: Minimum 3–5 years of administrative experience supporting senior-level management; experience in an industrial, manufacturing, or construction company preferred.
  • Skills:
  • Strong organizational and time management abilities
  • Excellent written and verbal communication skills
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to multitask and prioritize effectively in a dynamic environment
  • Strong attention to detail and accuracy
  • Professional demeanor and customer service orientation
  • Standard office setting within an industrial company environment
  • May involve occasional exposure to plant or field settings when supporting executive site visits
  • Typical working hours with occasional overtime or early/late meetings based on executive schedules

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer
  • Occasionally required to lift office supplies or materials up to 15 pounds
