Job summary

Four Seasons Atlanta is seeking an experienced Executive Assistant to support the GM/Executive Office in a luxury hotel environment. The role requires calendar management, travel coordination, document handling and discreet executive support to ensure seamless operations.

You will coordinate communications with VIP guests, owners and internal stakeholders, manage email, scheduling and office duties, while upholding the highest standards of confidentiality and professionalism in a dynamic luxury

Qualifications

  • 3+ years in an Executive Assistant or administrative/secretarial role.
  • Impeccable integrity and ability to maintain confidentiality.
  • Exemplary business communication skills in English.
  • Strong organizational and multitasking abilities.
  • Experience coordinating with executive leadership and VIP guests.

Responsibilities

  • Cultivate strong professional relationships within the hotel while maintaining discretion.
  • Coordinate calendar management, email handling and travel planning for the GM/Executive Office.
  • Provide comprehensive administrative support to the GM/Executive Office and manage meeting scheduling and follow-up.
  • Handle general clerical duties including mail, filing and document management.
  • Prepare and process purchase orders and expense reports; facilitate GM approvals.
  • Manage executive email workflows, archiving and responses for the GM/Executive Office.
  • Liaise with Four Seasons Area Executive Leadership Team and Regional GMs as required.
  • Coordinate guest reservations and liaise with VIP guests, handling room allocations and amenities.
  • Coordinate executive-level communications with guests, owners and internal stakeholders.
  • Schedule periodic meetings with hotel ownership and Four Seasons.

Key Components:
  • Cultivate strong professional relationships within the hotel while maintaining discretion and high confidentiality of the office.
  • Calendar coordination, email management and travel planning for the GM/Executive Office.
  • Provide solid administrative support to the GM/Executive Office and handle meeting scheduling, coordination, documentation and follow up.
  • Execute comprehensive general clerical and office management duties including mail, filing, document management.
  • Preparing and processing purchase orders, expense reports and facilitating GM approvals on behalf of other departments.
  • Exceptional e‑mail management skills including organizing, archiving, retrieval and responses for own in‑box and GM/Executive Office.
  • Liaison with Four Seasons Area Executive Leadership Team, Regional General Managers and Administrators as required.
  • Facilitate guest reservations made via the Executive Office.
  • Liaison with VIP guests of Four Seasons, overseeing room allocations, amenities, welcome cards and correspondence.
  • Coordinate executive level communication with guests, owners and internal stakeholders, relating to feedback and guest experience surveys.
  • Coordinate periodic meetings and communications with hotel ownership and Four Seasons.
Key Attributes:
  • Minimum 3+ years’ experience in an Executive Assistant or administrative/secretarial role.
  • Hotel experience is an advantage but not essential.
  • Impeccable integrity to ensure maximum confidentiality and discretion.
  • Exemplary business communication skills with fluency in verbal and written English.
  • Ability to multitask, prioritize and handle conflicting demands.
  • Exceptional in organizing own work and RVP/GM daily and weekly while acting as gatekeeper for the Executive Office.
  • Highly flexible with ability to adapt to a dynamic luxury service‑oriented place of business.
  • Solid under pressure, professional and able to maintain composure in handling complaints
  • Strong attention‑to‑detail with a focus on delivering quality while meeting deadlines at all times
  • People oriented with appropriate sense of humor, charm and outstanding personal presentation.
  • Solid knowledge of all Microsoft applications with emphasis on word processing, Excel and Outlook email. Knowledge of Opera helpful.
  • US Work Authorization is strongly preferred. Management candidates currently within Four Seasons may qualify for a work permit.
