  • Provide direct, high-level administrative support to the Vice President, CTO and Vice President, CIO within a fast-paced technology organization
  • Anticipate executive needs, identify potential conflicts or operational issues, and proactively develop solutions with minimal direction
  • Manage complex, fluid executive calendars across multiple domestic and international time zones, balancing competing priorities and proactively resolving scheduling conflicts
  • Coordinate domestic and international executive travel, including flight arrangements, detailed itineraries, accommodations, ground transportation, meetings abroad, and last-minute changes
  • Plan and coordinate in-person and virtual executive meetings, leadership sessions, workshops, and events, including agendas, materials, room and technology setup, and follow-up activities
  • Support leadership and employee-engagement activities that strengthen team connection, executive visibility, and the employee experience
  • Prepare, submit, audit, and reconcile executive expense reports and support invoice processing and other administrative financial workflows
  • Draft, proofread, format, and edit executive-ready presentations, correspondence, communications, spreadsheets, and business documentation
  • Maintain organized, accessible digital documents and information using Microsoft 365 and other enterprise collaboration tools
  • Handle sensitive and confidential business information with discretion, professionalism, and sound judgment
  • Build effective relationships with senior leaders, business partners, employees, administrative colleagues, and external stakeholders
  • Collaborate with peer administrative professionals to provide operational continuity, backup coverage, shared best practices, and onboarding support

You’ll be rewarded and recognized for your performance in an environment that will challenge you and give you clear direction on what it takes to succeed in your role as well as provide development for other roles you may be interested in.

Required Qualifications:
  • High school diploma, GED, or equivalent work experience

  • Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams
  • Proven solid written and verbal communication skills with demonstrated discretion when handling sensitive or confidential information
Preferred Qualifications:
  • Experience supporting technology, healthcare, or other large-enterprise leadership
  • Experience supporting multiple executives within a centralized or shared administrative model
  • Experience with Microsoft Copilot, enterprise-approved AI or automation tools, SharePoint, OneNote, or similar digital productivity tools
