Adecco Creative and Marketing is partnering with a leading animal health and diagnostics organization seeking an experienced Events Operations Manager to support the planning and execution of conferences, trade shows, medical education programs, and internal meetings.
This is a hands-on role focused on translating established event strategies into organized, accurate, and timely execution while coordinating with internal teams, agencies, vendors, venues, and suppliers.
This is a fully remote, full-time temporary contract opportunity for approximately 9 months. Candidates must be local to the Parsippany, NJ area and available to come onsite as needed to support events, including preparing, organizing, and managing event materials and logistics. Routine conference travel is not required, but occasional evening or weekend remote support may be needed during major events.
Responsibilities:
- Manage the day-to-day operational execution of established event plans, timelines, and priorities
- Support conferences, trade shows, meetings, and medical education programs from planning through closeout
- Maintain detailed event project plans, checklists, schedules, trackers, and documentation
- Coordinate with agencies, vendors, suppliers, venues, and internal stakeholders to keep deliverables on track
- Manage booth logistics, event materials, equipment, setup requirements, literature, collateral, and staff attire
- Coordinate event shipments, including preparation, tracking, receiving, inventory, delivery, and returns
- Manage meeting-room logistics, including reservations, setup, audiovisual needs, schedules, and materials
- Coordinate catering and food & beverage logistics, including BEOs, headcounts, guarantees, and venue communication
- Maintain event calendars and coordinate planning meetings, trainings, booth activities, and other event commitments
- Prepare and distribute event communications, schedules, reminders, and logistical instructions
- Capture meeting notes, decisions, action items, owners, and deadlines and ensure appropriate follow-up
- Monitor timelines and proactively flag potential gaps, conflicts, delays, or logistical issues
- Provide remote operational support during designated events and troubleshoot issues as they arise
- Support post-event reconciliation, documentation, reporting, and closeout activities
- Manage multiple concurrent event workstreams while maintaining strong attention to detail
Qualifications:
- 3–5 years of experience in event, conference, tradeshow, meeting, or hospitality management
- Experience managing event logistics and multiple projects simultaneously
- Strong understanding of conference/tradeshow operations, vendor coordination, meeting logistics, catering, and BEO processes
- Strong project management, organization, prioritization, and follow-through skills
- Excellent attention to detail and ability to manage multiple moving pieces and deadlines
- Strong written and verbal communication skills
- Comfortable working with internal stakeholders, agencies, vendors, venues, and suppliers
- Ability to take established direction and independently drive assigned workstreams through completion
- Strong problem-solving skills and judgment around when to escalat**e** questions or issues
- Proficiency with Microsoft Office, including Outlook, Excel, PowerPoint, and Teams
- Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, Business, or related field preferred
- Must be based in New Jersey or the surrounding area with reliable transportation to the Parsippany, NJ office as needed
- Ability to occasionally support events outside standard business hours, including evenings and weekends, remotely
- Ability to lift and move event materials weighing up to 25 lbs
