Job summary

XYPN, Bozeman-based advisor engagement platform, seeks an Events Specialist to plan and execute their member experiences, including digital and live events. You will manage logistics, attendee experiences, and cross-team collaboration to ensure programs align with member needs and organizational goals.

You will contribute to marketing support for webinars, coordinate the Meet-Up program, and lead the swag initiative while maintaining flawless event details and schedules.

Qualifications

• 1-3+ years of event planning experience.
• Excellent project management, organizational skills, and attention to detail.
• Efficient time management and ability to handle multiple priorities.

Responsibilities

• Assist in planning and execution of XYPN’s virtual and in-person events, including the annual conference, XYPN LIVE and Retreats.
• Own the coordination and execution of the XYPN Meet-Up program.
• Execute logistics for conferences, including task delegation, booth packing, and vendor management.
• Coordinate the event platform for XYPN LIVE from setup to post-event support.
• Maintain attendee/ exhibitor lists, registrations, and schedules.
• Support marketing operations for virtual webinars and post-event follow-up.
• Lead the swag program from product research to budgeting and ordering.
• Manage the member calendar and communications across channels.
• Handle the events inbox and timely responses.
• Ensure XYPN LIVE site details are accurate and up to date.
• Draft event guides and templates for speakers and teams.
• Support day-to-day event planning tasks to improve efficiency.
