Job summary

HopeWest is seeking an Events Coordinator to plan and execute fundraising and donor engagement events across its service areas. You will manage timelines, budgets, vendors, registrations, and volunteers with a focus on mission-aligned guest experiences.

The role requires strong project management, interpersonal skills, and the ability to work evenings and weekends. Local travel and collaboration with the Chief Development Officer and Marketing are essential components of this position.

Qualifications

  • Associate or bachelor's degree in event management or related field preferred.
  • Relevant experience may be considered in lieu of degree.
  • Minimum two years' professional event planning or fundraising experience preferred.
  • Experience coordinating multiple events and vendors with volunteers is preferred.
  • Strong project management and organizational abilities with deadlines.

Events Coordinator

Schedule: Monday-Friday, 8:00am-5:00pm with evenings and weekends required for events

The Event Coordinator is responsible for the planning, coordination, and successful execution of HopeWest fundraising, donor engagement, and mission-centered events across the organization’s service areas. This position serves as the primary project manager for HopeWest’s annual event calendar, ensuring events are organized, financially responsible, mission‑aligned, and delivered with a high level of professionalism and attention to the guest experience.

The Event Coordinator manages event timelines, budgets within approved parameters, vendors, logistics, registration, auctions, event materials, volunteer coordination, sponsorship fulfillment, and post-event follow-up. The position works closely with the Chief Development Officer, Donor Relations, Marketing, regional teams, Facilities, volunteers, and community partners. The Coordinator ensures the operational execution necessary to deliver on those strategies.

Work occurs in office environments, HopeWest facilities, event venues, and community settings throughout HopeWest's service area. The position requires local and regional travel and regular evening and weekend work associated with events.

You Bring:

  • Associate or bachelor's degree in Event management, hospitality, business administration, marketing, communications, non‑profit management or related field preferred.
  • Relevant professional experience may be considered in lieu of degree.
  • Minimum of two (2) years professional event planning, coordination, hospitality, fundraising, event, or related experience preferred.
  • Experience coordinating multiple events or projects simultaneously strongly preferred.
  • Experience working with non‑profit organizations, fundraising events, volunteers, sponsors, or community organizations preferred.
  • Experience supporting large‑scale events with multiple vendors and stakeholders preferred.
  • Strong project management and organizational skills with the ability to manage multiple events, deadlines, and priorities simultaneously.
  • Exceptional attention to detail and commitment to accuracy.
  • Demonstrated ability to develop and manage event timelines, budgets, vendor relationships, and logistical plans.
  • Strong interpersonal skills and ability to collaborate effectively with staff, volunteers, donors, sponsors, vendors, and community partners.
  • Ability to remain composed, flexible, and solutions‑oriented in fast‑paced event environments.
  • Strong written and verbal communication skills.
  • Sound judgment and ability to recognize when issues require escalation to Development leadership.
  • Ability to balance independent responsibility with collaborative decision‑making.
  • Ability to provide clear direction to event support staff and volunteers without formal supervisory responsibility.
  • High level of professionalism, discretion, and confidentiality.
  • Proficiency in Microsoft 365 and comfort learning donor, event registration, auction, and CRM systems; Raiser’s Edge experience preferred.
  • Ability to work evenings and weekends as required by the event calendar.
  • Able to lift and/or move up to 50 pounds and push/pull up to 50 pounds.
