The primary focus of the Events Coordinator is to support the Events team through the successful planning and implementation of firm-hosted meetings, events, and retreats. This position will also assist in the management of the firm’s travel program, working closely with the outsourced travel management provider.
Responsibilities:
- Assist with the planning and execution of firm-hosted events through the development, implementation, and reconciliation stages.
- Work with internal stakeholders to conceptualize events based on business development, affinity group, or section needs.
- Cultivate relationships with venues, event contacts, and vendors.
- Design and send electronic invitations, track RSVPs, and produce registration reports.
- Coordinate with the Creative team for event related materials to ensure branding is compliant on invitations, collateral, and promotional items.
- Assist with contract negotiations to keep firm costs down.
- Attend events on behalf of the firm as necessary, promoting a favorable image with attorneys, clients, vendors, and industry organizations.
- Support the Director of Travel, Meetings and Events in upholding the firm’s travel policy, implementing new travel processes, and regularly assessing program metrics.
- Assume additional responsibilities as requested.
- This role requires 60% in office presence; remote work is permissible 40% of the time.
Qualifications:
- 2-5 years of event planning experience, preferably in a law firm or professional services / hospitality industry.
- Proficient with Microsoft office suite, event management software (i.e. Cvent, Swoogo, EMS), and e-mailing software experience strongly preferred. Ability to quickly get up to speed and master new applications and software is critical.
- Possess excellent written and verbal communication skills.
- Strong organizational and administrative skills.
- Excellent attention to detail and ability to execute through to completion.
- Creative problem-solving skills, reasoning ability, and logical thought process.
- Ability to work under pressure, prioritize competing demands, and meet various deadlines.
- Demonstrated ability to professionally interact and collaborate with colleagues at all levels.
- Ability to work independently and as part of a team.

- Ability to handle confidential matters with discretion.
- Must be self-motivated to produce quality work.
