Job summary

Northeastern University in Boston seeks an Events Coordinator to support planning, coordination, and execution of global signature events and institutional programs, including Commencement and Convocation. You will work closely with internal stakeholders, external vendors, and event partners to ensure seamless event delivery and exceptional participant experiences.

  • Strong organizational and project management skills with exceptional attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proficiency with Microsoft Excel; independently create and manage complex spreadsheets, track event budgets and attendance data, and generate reports.
  • Experience with event management software and CRM platforms (Cvent, Salesforce) preferred.
  • Ability to manage multiple priorities in a fast-paced environment with a collaborative approach.
  • Experience coordinating events, conferences, hospitality programs, or related activities preferred.
  • Ability to lift up to 50 pounds and stand/walk for extended periods during event setup and execution.

Responsibilities

  • Assist in planning and management of global signature events and programs from concept through execution.
  • Coordinate event logistics including venue prep, registration support, transportation, catering, A/V, and production requirements.
  • Serve as liaison between university departments, vendors, performers, sponsors, and external partners.
  • Develop and maintain event timelines, production schedules, project plans, and operational documents.
  • Manage event materials, signage, supplies, and equipment for event delivery.
  • Assist with vendor communications, contract administration, purchasing, and invoice tracking.
  • Provide hands-on event support including setup, execution, troubleshooting, and post-event breakdown.
  • Maintain accurate event documentation, reports, databases, and project records.
  • Support event evaluation efforts and opportunities for continuous improvement.
  • Availability to work evenings, nights, and weekends as needed to support operations.
  • Other duties as assigned.

About the Opportunity
Position Summary

The Events Coordinator supports the planning, coordination, andexecution of the university's global signature events and otherhigh-profile institutional programs, including Commencement,Convocation, the Global Leadership Summit, and related specialevents. This role works closely with internal stakeholders,external vendors, and event partners to ensure seamless eventdelivery and exceptional participant experiences. The positionsupports all phases of event planning and execution, from conceptdevelopment through on-site management and post-event evaluation.The Events Coordinator reports to the Director, Event Operationsand Experiential Design Producer and is a member of the InteractiveExperience team under the leadership of the Executive CreativeDirector, Interactive Experience.

Key Responsibilities
  • Assist in the planning and management of global signature eventsand institutional programs from concept through execution.

Qualifications & Requirements

  • Demonstrated proficiency in Microsoft Excel is required. Thesuccessful candidate must be able to independently create andmanage complex spreadsheets, track event budgets and expenses,maintain registration and attendance data, develop productionschedules, and generate reports using formulas, filters, and pivottables.
  • Proficiency with Microsoft Office Suite, including Outlook, Word,PowerPoint, Teams, and SharePoint.
  • Experience with event management software and customerrelationship management (CRM) platforms, including Cvent,Salesforce, or comparable systems, is preferred. Demonstratedability to quickly learn and effectively utilize new technologyplatforms is highly desirable.
  • Ability to manage multiple priorities in a fast-paced environmentwhile maintaining a collaborative and solutions-orientedapproach.
  • Experience coordinating events, conferences, hospitalityprograms, or related activities preferred.
  • Ability to lift up to 50 pounds.
